Description

Columbia Basin College ("CBC" or the "College") seeks a Program Support Supervisor 1 to provide division-level operational leadership for the Schools of Social & Behavioral Sciences (SS&BS) and Education (SOE). This position supervises the SS&BS Program Assistant, coordinates strategic functions across the Division, and provides direct support to the Dean in budget oversight, faculty workload coordination, partnership development, and division-wide programming. This position reports to the Dean for Social & Behavioral Sciences and Education.

Primary Responsibilities

  • Supervise and establish SS&BS staff work priorities, work schedules, and assignments; conduct annual performance evaluations;
  • Manage and coordinate day-to-day operational activities of the Division Office; ensure smooth cross-functional coordination between SS&BS and SOE; assist in developing and implementing division-wide procedures;
  • Monitor, maintain, and reconcile program budgets in line with divisional plans and priorities; initiate corrective action; prepare budget status reports; assist in the preparation of grants, budget enhancement proposals, and financial reports;
  • Edit, revise, and update faculty workload (FWL) data; work closely with HR and the Office of Instruction to ensure accurate processing of extra-contractual payroll, moonlight assignments, and adjunct contracts; submit and verify time reports for work study students and adjunct faculty; monitor accuracy of payroll and resolve discrepancies;
  • Assist in constructing quarterly course schedules; update and maintain comprehensive records of class scheduling, faculty workload assignments, and course enrollments; manage updates and corrections throughout the scheduling cycle from initial draft to final offering;
  • Assist the Dean in developing and maintaining partnerships with community organizations, educational partners, workforce development entities, and four-year transfer institutions; support outreach and articulation efforts for program development initiatives;
  • Provide administrative coordination for division-wide programming, including speaker and film series, student workshop series, and faculty professional development; support faculty hiring processes, onboarding, and tenure-track committee logistics; coordinate faculty professional development activities and maintain records of PD fund usage;
  • Prepare agendas for Division meetings; facilitate collaboration between SS&BS and SOE; represent the Division in institutional meetings and serve as a liaison to other college departments, external partners, and community organizations;
  • Prepare reports, correspondence, publications, and promotional materials related to Division programs, initiatives, and strategic priorities; maintain databases and tracking systems for faculty activities, advisory board engagement, partnership development, and community outreach; maintain organized historical records of activities and compliance documentation;
  • Use advanced word processing, spreadsheet, database, and statistical software; update and maintain online content for the Division webpages; evaluate inventory and equipment needs for division operations; process orders as needed using Procure+ and/or the P-Card; and
  • Perform other related duties as assigned.

Required Qualifications

  • Associates degree or equivalent from an institutionally accredited college or university, or equivalent combination of education/training/experience; and
  • Three (3) years of administrative support experience working in position(s) such as an administrative assistant, secretary, program coordinator, program support or related field.

Preferred Qualifications:

  • Bachelor's degree or equivalent from an institutionally accredited college or university, or equivalent combination of education/training/experience;
  • Experience in higher education settings;
  • Experience with payroll systems, scheduling software, and/or budget tracking tools; and
  • Bilingual and biliterate in English and Spanish.

Terms of Employment

This position is a full-time, overtime eligible classified staff position. The typical work hours for this position are Monday through Thursday from 7:00 a.m. to 4:30 p.m. and Friday from 7:00 a.m. to 12:00 p.m.; however, must be available to work a flexible schedule when prior notice is given by the College.

Physical Requirements

While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach, and manipulate objects. MEDICAL FLEX SPENDING ACCOUNT (FSA) & DEPENDENT CARE ASSISTANCE PROGRAM (DCAP)

The FSA and DCAP plans are optional plans offered by the College and the State of Washington. They are calendar year, pre-tax, spending programs you can use to set aside money for eligible expenses. Both plans are offered as payroll deductions and are administered by Navia Benefit Solutions.

The FSA allows you to use pre-tax money to pay for certain out-of-pocket medical expenses. An FSA can be used to cover qualifying expenses such as: chiropractic care, over-the-counter medicine, first-aid supplies etc. For a full list of qualifying expenses visit: Medical FSA eligible expenses (naviabenefits.com).

For 2026, FSA annual contributions can be between $120 minimum and $3,300 maximum. As a "use it or lose it" IRC governed plan, medical expense reimbursements can be requested for employee, spouse, or IRS eligible dependents. The Dependent Care Assistance Program (DCAP) allows you to save on child or elder care expenses (e.g. babysitting, daycare, in-home care for an older dependent incapable of self-care).

Basic Coverage*

$35,000 Basic Term Life & $5,000 Accidental Death & Dismemberment (AD&D).

Employer-Paid Plan*

Provides 60% of the first $400 pre-disability monthly earnings, reduced by any deductible income.

The minimum benefit is $100 per month, maximum benefit is $540 per month. Benefits begin after 90 days of disability or the period of accumulated paid leave, whichever is longer.

MOVING EXPENSE REIMBURSMENT

Employees having to move to accept a position with the College may qualify for moving expense reimbursement when certain conditions are met.

REDUCED TUITION WAIVER PROGRAM

Employees can take most credit and non-credit classes at a reduced cost when space is available and certain conditions are met.

Credit classes

Permanent classified, faculty, adjunct faculty and administrative employees of CBC may take almost any credit class on a space-available basis if requirements and prerequisites have been met. The basic cost is $5.00, plus any fees associated with that class. Hourly and probationary employees are not eligible for this reduced tuition.

VACATION, SICK LEAVE, & HOLIDAYS

Vacation & Sick Leave

Classified staff, and administrative staff accrue vacation and sick leave at rates determined by their employer group. Employees represented by a bargaining unit should refer to their negotiated agreement for accrual rates.
