The role works closely with project managers, finance teams, and external partners to ensure timely reporting, compliance, and financial health of each project.Key Responsibilities Lead monthly progress billings and reporting, including lien releases, using MS Excel, MS Dynamics AX, Textura, and other systems.Partner with project managers to ensure precise and timely billing, including invoice preparation and review.Prepare and analyze over/under billing summaries, providing key insights and collaborating with management.Process monthly invoices and issue miscellaneous invoices directly to customers, ensuring accuracy.Review and approve change order budgets, ensuring financial accuracy and alignment with scope.Oversee project startups by ensuring required documentation is complete (billing setups, contract details, preliminary notices, insurance certificates).Maintain organized billing files for financial reporting and audits.Ensure all financial obligations are met at job closeout, collaborating with project managers to resolve issues.Maintain sub‑tier and supplier release logs, resolving disputes with Accounts Payable and project managers.Adhere to billing schedules, prepare invoices, and collect payments; manage lien releases.Conduct job cost analysis and reallocate costs for accurate reporting and budgeting.Reconcile project accounts, identifying and correcting discrepancies.Record ACH, credit card, and cash deposits, ensuring proper categorization and allocation.Conduct credit checks on new customer accounts to assess risk.Assist with ACH payment setup and customer onboarding.Maintain and update the billing log, tracking billable items and retention amounts.Liaise with project managers, operations, and finance staff to resolve discrepancies.Identify opportunities to streamline billing and reporting processes.Monitor billing activity across accounts; maintain accurate billing and contact information.Manage collections for service project billings, coordinating with the service team.Qualifications Minimum of 2 years project accounting experience.Proficiency in MS Excel (intermediate level) with data analysis, lookup functions, pivot tables, and reporting.Strong data entry skills with high accuracy.Experience with project-based accounting and construction billing procedures.Solid understanding of compliance requirements.Ability to prioritize tasks and manage multiple deadlines.Excellent written and verbal communication skills.Experience with Dynamics AX or other ERP systems for financial management.Proficiency in a networked computer environment.Desired Experience working in a team with at least five accounting staff.Background in a large construction company with industry‑specific accounting practices.Benefits Health Benefits401(k) with Company MatchLife and Disability BenefitsPaid Holidays & Paid Time OffAccess to multiple types of trainingOpportunities for Self‑development and Career ProgressionWellness Benefits & Employee Assistance ProgramFamily Leave (Maternity, Paternity)Tuition Reimbursement ProgramReporting Structure Reports to: Project Accounting Supervisor.
