Project Administrator – Commercial Contracting
$24–$28/hr, based on experience
Temp-to-Hire | Onsite in East Windsor, CT | Mon–Fri 8AM–4:30PM

A growing commercial mechanical contractor is looking for a Project Administrator to support a team of Project Managers on the installation/construction side of the business. 

Responsibilities

Project Administration:
  • Opening jobs, pulling permits, and obtaining COIs
  • Processing RFIs, submittals, and project closeouts
  • Billing jobs and processing vendor invoices
  • Typing proposals and reviewing bid invitations
  • Registering client equipment for warranty
  • Maintaining the installation schedule and closing out completed jobs

Internal Support & Communication:
  • Serve as a key point of contact between Project Managers, field technicians, and outside contractors to keep projects moving
  • Track project status and flag issues or delays to the appropriate team members
  • Coordinate documentation and information flow across departments
  • Support the broader office team with administrative needs as they arise

Qualifications

Required:
  • High school diploma or equivalent; Associate's or Bachelor's degree preferred
  • 1+ years of administrative experience with a degree, or 3+ years without
  • Proficient in Microsoft Word, Excel, and Outlook 365
  • Strong math skills — comfortable with invoices, billing, and numbers-heavy work
  • Highly organized with the ability to manage multiple projects and deadlines at once
  • Strong written communication skills; proposal and correspondence writing is a core part of this role
  • Comfortable working in a trade/construction office environment alongside PMs and field staff

Nice to Have:
  • Experience in contracting, construction, or a trades-related office
  • Familiarity with permitting processes or obtaining COIs
  • Knowledge of Sage 300 ERP (training provided)
  • Adobe Acrobat proficiency
