We are looking for a highly organized and detail-oriented Project Administrator with previous experience in the high-paced construction industry. The Project Administrator is to assist and support the Public Works Project Management team in performing administrative functions of the municipal project management.

 

Essential Job Duties & Responsibilities:

  • Documentation Management: Processing complex government Payment Applications; Maintaining the integrity and compliance of the project documents; Ensuring the documentation is organized and readily accessible.
  • Meticulous Record Keeping: Maintaining accurate data entry and record keeping within project management software and supporting project budget spreadsheets. Gathering and diligently processing data such as field measurements, contract pricing, progress billings, and project cost details. Accurately and timely updating and tracking project budgets.
  • Contract Administration: Analyzing and facilitating successful and timely execution of government contracts by keeping the team informed of the project progress; staying on top of the contractual nuances; keeping up with contractual obligations to the vendors and subcontractors.
  • Communication and collaboration: Facilitating communication and becoming a reliable liaison between the field employees, project management team, accounting team, and the customers’ representatives as needed. Closely collaborating with AR and AP departments to ensure accurate and timely billings and payments.

  • Strong organizational and time management skills
  • Detail-oriented with high accuracy standards
  • Proficiency in construction documents and contract interpretation is a strong plus
  • Knowledge of project management principles and software
  • Proficiency in MS Office (strong Excel, Word, Outlook) and Adobe Pro
  • Excellent interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Strong analytical and mathematical skills
  • Ability to multitask and learn new skills
  • 2+ years of experience performing similar work and/or a college degree in a related field of study are strongly preferred
