Job Overview:


We are seeking a professional, customer-focused Administrative Assistant to support APTIM’s projects. This role serves as a primary point of contact for incoming communications and provides administrative and project support to ensure timely responses, accurate tracking, and effective coordination across teams.


The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while maintaining a positive and professional demeanor in all interactions. This position plays a key role in supporting day-to-day operations for two high-volume programs by helping manage inquiries, documentation, and routine project support activities.


Key Responsibilities/Accountabilities:


· Serve as a primary point of contact by answering and directing incoming phone calls in a courteous and professional manner


· Respond to internal and external inquiries related to Marriott Waste Administration and Walmart Licensing activities by providing accurate information and resolving routine concerns


· Appropriately escalate complex or unresolved issues to the correct project team member or manager


· Maintain detailed and well-organized records of calls, messages, and customer or stakeholder interactions associated with both programs


· Monitor and manage shared project email inboxes to ensure timely responses, proper routing, and documentation


· Provide administrative and project support as needed, including research, data entry, database or spreadsheet maintenance, and financial or tracking support


· Assist with tracking waste haulers, service requests, billing inquiries, licensing correspondence, and supporting documentation in accordance with project procedures


· Prepare, format, and distribute routine internal and external communications, reports, and correspondence


· Support program consistency and efficiency by ensuring project information is accurately documented and readily accessible to the team


Basic Qualifications:


· High school diploma or equivalent required; associate degree preferred


· 2+ years of administrative or customer service experience


· Strong verbal and written communication skills


· Professional phone etiquette and interpersonal skills


· Ability to remain calm and solution-focused in challenging situations


· Strong organizational skills with attention to detail


· Proficiency in Microsoft Office (Word, Excel, Outlook) and general office systems


· Ability to prioritize tasks and manage time effectively, and work independently while supporting multiple project teams.

As of the date of this posting, a good faith estimate of the current pay range for this position is $22 to $25 per hour. Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
