Job Title: Project Administrator

Job Description

This Project Administrator role supports an electrical contractor's construction site operations by managing onboarding processes and providing comprehensive clerical and administrative support. The position focuses on coordinating new hire documentation, maintaining accurate records, and serving as a key point of contact for field personnel while ensuring smooth day-to-day office functions within a construction trailer environment.

Responsibilities

  • Assist employees with orientation and guide them through the onboarding process, ensuring all required documentation is completed accurately and on time.
  • Gather, verify, and process information needed for onboarding and payroll, including personal, employment, and timekeeping data.
  • Use internal onboarding software to enter and maintain employee information, ensuring data accuracy and consistency across systems.
  • Create and maintain basic spreadsheets to track onboarding status, employee records, and other administrative data.
  • Coordinate regularly with project leadership and payroll staff to ensure alignment on staffing needs, onboarding timelines, and payroll requirements.
  • Serve as the primary point of contact for tradespeople and other field employees during onboarding, answering questions and resolving issues promptly.
  • Maintain organized electronic and physical records, ensuring all files are up to date and compliant with company policies and procedures.
  • Ensure adherence to company policies, confidentiality standards, and documentation requirements throughout the onboarding and administrative processes.
  • Support general office functions within the construction trailer, including filing, data entry, document preparation, and other clerical tasks as needed.
  • Communicate clearly and professionally with internal stakeholders to support construction operations and project management activities.
  • Prioritize tasks effectively in a fast-paced environment to meet deadlines and support project schedules.
  • Contribute to a collaborative, team-oriented environment by assisting colleagues and sharing information as needed.

Essential Skills

  • At least 2 years of administrative or clerical experience in an office or similar setting.
  • Proficiency with basic spreadsheets, including creating, editing, and maintaining data in tools such as Microsoft Excel.
  • Experience using internal onboarding software or similar HR/administrative systems for data entry and record management.
  • Strong organizational skills with the ability to maintain accurate records and manage multiple tasks simultaneously.
  • Effective written and verbal communication skills for interacting with employees, project staff, and payroll personnel.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Comfort working in a construction site trailer environment while maintaining a professional office presence.
  • Administrative support skills, including data entry, document management, and general clerical tasks.
  • Proficiency with Microsoft Office applications, including Word, Excel, and other common administrative tools.

Additional Skills & Qualifications

  • High school diploma or equivalent required; an associate degree is preferred.
  • Strong attention to detail, with the ability to identify and correct errors in documentation and data.
  • Ability to prioritize tasks effectively and manage time in a fast-paced, project-driven environment.
  • Any industry experience is acceptable; prior experience in construction or working with tradespeople is a plus.
  • Demonstrated administrative skills, including organization, filing, and document preparation.
  • Experience with onboarding processes and payroll-related documentation is beneficial.
  • Interest in gaining exposure to construction operations and project management processes.
  • Desire to contribute to a high-profile project and work collaboratively with project and payroll teams.

Work Environment

This role is based onsite in an air-conditioned construction trailer that functions as a fully equipped office. The position typically requires 40 hours per week, with some overtime and occasional Saturday work depending on project needs. Standard start times fall between 6:00 AM and 8:00 AM to align with construction schedules. The onsite team consists of approximately eight people, fostering a close-knit, collaborative environment with project leadership and payroll staff. The setting combines the structure of an office environment with the activity of a construction site, offering a unique opportunity to work closely with field personnel and project teams while performing administrative and clerical duties in a comfortable, professional workspace.

Pay and Benefits

The pay range for this position is $23.00 - $29.00/hr.
