As a Project Assistant II, you will be responsible for providing project administrative support for multiple contracts/programs/customers including supporting development of business specific documents. Business specific documents may include, but are not limited to, manuals, reports, spreadsheets, graphs, PowerPoint presentations and educational materials. You will be responsible for facilitating internal and external stakeholder meetings which includes preparing and distributing agendas and minutes. This position is also responsible for developing and monitoring project timelines.
This position requires the ability to be in office in our West Des Moines, Iowa location at least once per month, and additionally, as needed.
What you'll do:
- Prepare documentation, including writing, assisting with writing or formatting (agenda, minutes, handouts, manuals, publications, deliverables, reports and educational materials according to contract/program requirements etc.) for internal team meetings and/or external customer meetings to support team
- Create, update and monitor timelines
- Maintains organizational charts
- Coordinate documentation from multiple sources
- Ensure on-line or hard copy materials are accurate and in a professional format according to contract/program requirements
- Communicate in a professional manner with internal/external customers
- Escalate issues through appropriate channels, following established hierarchical protocols between clinical and non-clinical staff members
- Perform support functions, such as answering program inquiries via telephone or help desk; travel arrangements; registrations; purchasing supplies for the team; scheduling onsite and offsite meetings and conference calls; answering phones; copying and distributing correspondence
- Coordinate schedules for team members
- May create a master planning calendar of contract events
- Coordinate set-up for new hires
- May monitor status of agreements and contracts
- Mentor and orient other project assistants.
- Monitor status of deliverables, data processing and reporting schedules and report variations or discrepancies to management
- Ensure files are up to date and accurate
- Research and make recommendations to the team for process improvements related to documentation and deliverables
- Perform software or process improvement testing upon request, identifying issues and recommending changes as needed, according to contract/program requirements and needs.
Required Skills and Experience:
- Two-year degree in business, healthcare, IT or related field and/or equivalent training and/or experience
- 3 – 4 years’ experience in project administrative support
- Demonstrated ability working with confidential information and in a deadline driven environment
- Demonstrated ability to effectively multi-task and solve problems
- Positions working on specific contracts may require U.S. Citizenship
- 5% local and overnight travel
- Ability to be in office at least once per month, and additionally, as needed
Preferred Skills and Experience:
- Advanced knowledge and experience with Windows, all Microsoft Office products, and other PC-based software.
- Highly proficient keyboarding skills with accuracy, including spelling, grammar, and mechanics
- Keyboarding equivalent to 50 words or more per minute
- Ability to work within multiple software environments and acclimate to client or project specific software
