About your new career:

As our Project Coordinator, you'll play an important role in supporting retail tenant improvement projects across our commercial real estate portfolio.

Based at our Upland Corporate Office, you'll work closely with our Project Managers, Leasing Managers, Property Managers, tenants, contractors, vendors, municipalities, and utility companies. You'll help keep retail tenant projects moving from the early leasing and design stages through permitting, construction, turnover, and closeout.

This is an excellent opportunity for someone with strong administrative and organizational skills who wants to build experience in commercial real estate, construction coordination, and tenant improvements.

Your responsibilities will include:

• Supporting tenant improvement projects through leasing, design, permitting, construction, turnover, and closeout.
• Assisting new tenants with onboarding activities and project requirements.
• Coordinating tenant documents, project reports, lease exhibits, space layouts, and Lease Outline Documents (LODs).
• Helping tenants navigate plan preparation and city permitting processes.
• Assisting with reviewing tenant construction drawings and identifying tenant and landlord scopes of work.
• Tracking tenant construction activity and assist with tenant requests for information (RFIs).
• Coordinating with City Building and Planning departments, utility companies, contractors, and other outside partners.
• Assisting with tenant and contractor liability insurance documentation.
• Supporting the turnover of tenant premises.
• Coordinating tenant improvement reimbursements, invoices, and payment-related needs.
• Providing administrative and operational support to Commercial Property Management and Leasing leadership.

Retail signage coordination will also be an important part of your role, including:

• Processing master sign criteria from initial city submittal through final approval.
• Reviewing tenant signage submittals for city permitting.
• Participating in the selection and coordination of signage vendors for bidding, contracting, fabrication, and installation.
• Working with Leasing Managers to coordinate tenant sign-panel allocations and reimbursements.

Experience for success:

• 2-4+ years of administrative experience preferred, ideally within retail or commercial property management, construction, or a related environment.
• Proven organizational skills with the ability to manage multiple projects, deadlines, and requests simultaneously.
• Ability and interest in learning to read construction documents and plans, including architectural, civil, structural, mechanical, electrical, and plumbing plans.
• Working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint.
• Ability to learn company systems such as Bottomline, JDE, MRI, and other software applications.
• Previous experience as a Project Coordinator is a plus.
• A valid driver's license and reliable transportation may be required for occasional travel to Company properties.

Note: This is a Monday-Friday position located at the Upland, CA corporate office.

Salary & Perks:

In addition to an hourly salary of mid-high $30s per hour based on experience, the position includes a $60/month cellphone allowance, a 401k with company match, eligibility for an annual bonus and annual raise, a variety of health benefits plans to choose from, paid vacation and holidays, and much more.
