The Department of Asset Management at LSUHSC-Shreveport has overall responsibility and authority to coordinate and perform property functions as prescribed by L.R.S. Title 39. Under the general supervision of the Property Control Manager, the Project Coordinator/Operations manages all aspects of the current physical inventory section. The current physical inventory section is responsible for the day-to-day operations necessary to complete the inventory per the state and agency requirements. The duties encompass planning and conducting the physical inventory of all LSUHSC-Shreveport movable property. The incumbent will provide direct oversight of personnel under his/her authority. The scope of the movable asset inventory consists of approximately 12,000 items purchased with State, Federal, and private grant funds with a total value more than $95,000,000 located in over 104 buildings in the Shreveport area and throughout the state of Louisiana. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to the needs as they occur to ensure that customer satisfaction is always met. Regular attendance is required for this position to perform functions listed below. Normal hours of work are from 8:00 A.M to 4:30 P.M. and may be adjusted to meet the departmental needs. Lunch and breaks are dictated by workflow and are per the employee''s handbook. ESSENTIAL FUNCTIONS 50% Provide oversight for the inventory staff conducting the inventory on the immediate campus and remote locations on an annual basis. The incumbent will conduct the Annual Physical Inventory using scanner technology when available but must be ready and able to convert to a manual form of inventory when necessary. The incumbent will train and provide oversight for two (2) full-time employees. Incumbent may be required to operate a public vehicle in performance of his/her duties. Reconcile for the Asset Management Director the inventory with the physical count, oversee follow-up physical checks, and develop with the Director procedures to ensure accuracy and effectiveness of the inventory. Review inventory data for accuracy in the PeopleSoft database to include changes in (not limited to) location, departments, and inventory status. Use the PeopleSoft query system to develop and retrieve special reports to meet the customer department''s request for information and the needs of the inventory staff. 40% Maintain a working relationship with the more than 155 departments having property assigned and coordinate the inventory requirements with these departments. This includes developing procedures necessary to maintain an accurate inventory, answering inquiries on the inventory, research problems, and providing reports to the departments. The incumbent will conduct and oversee facility surveys on and off the LSUHSC-Shreveport campuses as assigned and update the department''s PeopleSoft database with any changes. The incumbent will reconcile various equipment purchase orders from the ledger and assign asset tags to equipment that meet tagging criteria. This program is subject to audit by governing authorities. The incumbent will also maintain the bar-coded location tags fixed to each room location. 10% Perform other tasks as assigned. This will include but is not limited to assisting the Asset Management Director in accomplishing assigned duties and management, acting for the Director in his/her absence, filling in for others on the team in their absence. This could include occasional work in various locations scanning and moving assets. The incumbent may be delegated additional duties, tasks, or responsibilities to monitor programs that have been deemed necessary by the Director. The training is essential to continually provide effective and efficient support to the departments and ensure compliance with State and Federal rules. Develop and prepare reports, forms, and checklists necessary to conduct the movable property inventory.
