The Project Coordinator provides comprehensive support to a program management team by coordinating project activities, maintaining documentation, and enabling clear communication across multiple initiatives. This role focuses on scheduling, document control, data validation, KPI monitoring, and preparing executive-level reports and presentations using tools such as MS Project, Visio, Excel, and Word.
Responsibilities
+ Provide project coordination support to a program management team of approximately 10 program managers across multiple concurrent projects.
+ Schedule and support project meetings, including preparing agendas, capturing key decisions, and tracking action items.
+ Support information collection, data validation, and document control to ensure project records remain accurate, complete, and up to date.
+ Update and maintain project plans and related project documentation in alignment with program management direction.
+ Prepare, format, and distribute project status reports, dashboards, and executive-level presentations suitable for senior leadership review.
+ Facilitate clear and effective communication among project stakeholders by organizing and disseminating project information in a timely manner.
+ Support training activities related to project initiatives, including preparing training materials and coordinating training sessions as needed.
+ Assist with project communications, including drafting and editing written communications, summaries, and updates.
+ Monitor and support reporting on contract KPIs, milestones, and deliverables to help ensure contractual and project performance requirements are met.
+ Utilize MS Project, Visio, Excel, and Word to manage project artifacts, track progress, and generate reports.
+ Ensure all written communication, documentation, and presentations meet a professional standard appropriate for executive audiences.
+ Collaborate closely with program managers to identify issues, risks, and dependencies and help track follow-up actions through to completion.
Essential Skills
+ 2-3+ years of project coordination experience supporting multiple projects or a program management team.
+ Proven experience with project coordination and project documentation in a professional environment.
+ Excellent written communication skills, with the ability to prepare clear, concise, and polished executive-level project documentation.
+ Strong skills in preparing and formatting executive-level reports, dashboards, and presentations.
+ Ability to monitor and report on contract KPIs, milestones, and deliverables, or closely related performance metrics.
+ Proficiency with MS Project for maintaining and updating project plans.
+ Proficiency with Microsoft Visio for creating and maintaining process flows and diagrams.
+ Advanced skills in Microsoft Excel for data tracking, KPI reporting, and status dashboards.
+ Strong proficiency in Microsoft Word for creating and managing project documentation and written communications.
+ Strong attention to detail in data validation, documentation quality, and version control.
+ Comfort with submitting to a drug test (including THC testing) as part of the onboarding process.
Additional Skills & Qualifications
+ Experience monitoring and reporting on contract KPIs, including KPI reporting and KPI monitoring, is a strong plus.
+ Experience working within a program management or project management office environment.
+ Ability to translate complex project information into clear, concise summaries for executive audiences.
+ Strong organizational skills with the ability to manage multiple priorities and deadlines.
+ Ability to work both independently and collaboratively within a team of program managers.
+ Interest in the energy and utilities sector and in supporting large, complex initiatives.
+ Long-term engagement mindset, with interest in a multi-year contract and potential conversion to a full-time role.
Work Environment
This role operates in a hybrid work environment based out of the Bellevue headquarters, combining on-site presence with remote work as business needs require. You will collaborate closely with a program management team in a professional office setting, using tools such as MS Project, Visio, Excel, and Word on a daily basis. The position is structured as a 24-month contract with the possibility of conversion to a full-time role, offering paid time off (5 days) and holiday pay (12 holidays) during the contract period. Pay and Benefits
The pay range for this position is $27.00 - $32.00/hr.
