The University of Southern Maine (USM) is seeking a Project Coordinator within the Dean's Office for the College of Arts, Humanities, and Social Sciences.

The Project Coordinator within the Dean's Office for the College of Arts, Humanities, and Social Sciences (CAHS) will work closely with the Dean and CAHS Office staff on various projects and initiatives, while coordinating with key University offices and stakeholders. Responsibilities will include, but are not limited to, assisting in creating and maintaining databases, preparing reports; coordinating College elections and awards; event planning, programing, developing and maintaining a unified CAHS calendar; including communications and marketing.

What you'll do

  • Maintain project plans, schedules, and deliverables while adhering to specific timelines and budgets.
  • Act as the primary point of contact for campus partners, students, faculty, and off-site organizations.
  • Coordinate logistics for meetings, symposia, and committee events, and prepare agendas and meeting minutes.
  • Support Marketing/PR, website, social media, manage the college's monthly newsletter, manage the college's FB, IG, and websites, sending college wide communication, managing college wide event calendar.
  • Monitor program progress, track student, faculty, alumni, and operational data, and compile periodic status reports for the Dean and Associate Deans. Serve as a liaison for Concur requests and reports, as well as handle gifts, donations, and internal deposits in compliance with relevant University policies and APLs.
  • Coordinate with the Dean and various stakeholders in the planning and implementation of fundraising and revenue generating activities and facilitate strategic marketing and planning initiatives.
  • Capitalize on opportunities to bolster the growth and sustainability of the college. Coordinate with marketing for college events and community outreach to enhance visibility and engagement.
  • Act as the primary contact for outside vendors, agencies, and organizations, maintaining positive relationships and overseeing contractual agreements.
  • Prepare reports and presentations with meticulous attention to detail and clarity.
  • Review, interpret, and explain policies and procedures to ensure compliance and streamline operations.

This is an in person position on our Portland Campus, with service on all campuses as needed, and has a starting salary of $47,000. It is a regular, full-time position, Monday through Friday, with occasional evenings and weekends as needed.

Required Qualifications:

  • Bachelor's degree
  • One to three years of work experience in a college, university, or similarly complex organization, or equivalent combination of education and experience.
  • Experience in planning, analyzing, communicating, and managing projects or initiatives.
  • Demonstrate the ability to work independently and as part of a team.
