Position Description

Ground is hiring a Project Coordinator to support the operational systems that campaigns run through.

This role sits within the Operations team and works across Narrative Intelligence and Campaign Strategy to help keep projects organized, aligned, and moving forward. The role is responsible for maintaining workflows, supporting communication across teams and clients, tracking timelines, and ensuring that projects stay coordinated as work moves from research through execution.

This is not a traditional administrative role. The position is designed for someone who enjoys building structure, solving problems, and helping complex projects run smoothly across multiple teams and moving parts.

The ideal candidate is highly organized, detail-oriented, calm under pressure, and comfortable operating in fast-moving environments where priorities evolve quickly

Core Responsibilities

Project Coordination & Workflow Management

  • Maintain project timelines, workflows, and task tracking across internal systems
  • Monitor project progression and flag risks, blockers, or timeline shifts
  • Support coordination across research, strategy, production, and operations teams
  • Help ensure deliverables, revisions, approvals, and feedback move through projects efficiently
  • Assist in maintaining accountability across project milestones and deadlines

Communication & Team Coordination

  • Coordinate meetings, schedules, and calendars across teams and external partners
  • Prepare agendas, meeting notes, next steps, and action-item tracking
  • Maintain alignment between internal workflows and client-facing timelines
  • Support clear and consistent communication across projects and teams

Operational Systems & Organization

  • Maintain organized digital workspaces across Google Drive, Dropbox, Asana, and related systems
  • Support project closeout and archival processes
  • Help maintain consistency across workflows, naming conventions, and operational systems
  • Assist in improving internal processes and systems as the organization grows

Qualifications

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects and shifting priorities simultaneously
  • Comfort working independently while coordinating closely with a team
  • Familiarity with tools such as Google Workspace, Asana, Dropbox, and scheduling platforms
  • Experience in an agency or communications firm with project coordination, operations, client services, production or administrative support is preferred

Compensation & Benefits

  • Compensation: $60,000–$68,000 DOE
