Project Coordinator

Endocrinologists are at the core of solving the most pressing health problems of our time, from diabetes and obesity to infertility, bone health, and hormone-related cancers. The Endocrine Society is the world’s oldest and largest organization of scientists devoted to hormone research and physicians who care for people with hormone-related conditions. The Project Coordinator serves as the operational hub that keeps projects, people, and priorities connected across the organization. This role partners with internal teams to coordinate initiatives, manage stakeholder communication, oversee marketing traffic management, and ensure projects move forward efficiently from concept to completion.
 
We're looking for someone who enjoys solving problems, bringing structure to complexity, improving processes, and building strong relationships across teams. Success in this role requires initiative, sound judgment, and the ability to anticipate challenges before they become roadblocks.

  • Strong project coordination and organizational skills with the ability to manage multiple priorities and deliver high-quality work with exceptional follow-through.

  • Demonstrated sound judgment with the ability to identify issues, solve routine challenges independently, and appropriately escalate complex matters with thoughtful recommendations.
  • Experience coordinating cross-functional projects, balancing competing priorities, and keeping work moving forward in a fast-paced environment.
  • Strong attention to detail with the ability to maintain accurate documentation, project trackers, dashboards, and status reporting.
  • Passion for improving workflows, increasing operational efficiency, and supporting continuous process improvement.
  • Proficiency with Monday.com, Google Analytics, HubSpot, Microsoft Office, and other project management and collaboration tools.
  • Ability to work effectively within structured processes while remaining adaptable to changing priorities.
Qualifications
  • 2–4 years of experience in project coordination, marketing operations, grants administration, program support, or a related field.
  • Experience working with cross-functional teams in a collaborative environment.
  • Ability to build strong working relationships with individuals at all levels of the organization.

What you’ll own: 

Internal Team Coordination 
  • Coordinate work across internal teams, including Grants, Marketing, Finance, and Program teams, to maintain alignment on priorities, timelines, and next steps. 
  • Facilitate regular internal check-ins to confirm scope, clarify responsibilities, and maintain momentum across active workstreams. 
  • Proactively monitor project progress independently, identify gaps, delays, or risks early, and take appropriate action or escalate with clear context. 
Stakeholder Management & Communication 
  • Keep stakeholders informed through clear communication, project dashboards, and regular status updates
  • Serve as a trusted point of coordination between departments, helping teams navigate competing priorities while maintaining focus on organizational goals. 
  • Build strong working relationships across the organization to ensure projects move efficiently and communication remains clear regarding project status, upcoming deadlines, and risks through clear updates, Monday.com reports, and dashboards. 
  • Support alignment across teams with competing priorities by clarifying scope, expectations, and escalation paths. 
Issue Identification & Escalation 
  • Escalate complex issues with thoughtful context, potential impacts, and recommended solutions to support informed decision-making.
  • Apply sound judgment to resolve routine and moderately complex issues independently while tracking escalated items through resolution  
Marketing Coordination & Traffic Management 
  • Manage the Marketing request intake process by reviewing submissions for completeness, aligning requests with organizational priorities, and partnering with the Marketing team to prioritize and schedule work based on deadlines, campaign schedules, capacity, and strategic importance.
Grants & Program Support 
  • Coordinate closely with Grants and Program teams to track deadlines, reporting requirements, internal handoffs, kickoff calls, and deliverables.
Project Tracking & Documentation 
  • Maintain project timelines, documentation, decision logs, and status summaries within shared systems and dashboards. 
  • Gather information from multiple departments, facilitate collaboration, and help projects move seamlessly through each stage of execution.
  • Analyze workflows and recommend process improvements that increase efficiency, clarity, and consistency.
Data & Analytics Support 
  • Run and compile email and campaign performance reports using tools such as Google Analytics and summarize findings to support planning discussions
Tools & Ways of Working 
  • Develop standardized templates, tools, and best practices that strengthen project coordination across departments.
  • Continuously look for ways to simplify processes and improve the overall experience for internal stakeholders.

Work Location: 
This position is located in Washington, DC and walking distance to Metro and major bus lines.  The Endocrine Society offers a flexible, hybrid work environment.  Employees are expected to work from the office at least 2 days per week to foster our collaborative culture and support cross-functional interaction.
