Job Title: Project Coordinator

Location: Ft. Myers, FL

Duration: 6 month contract to hire

Start Date: ASAP

Job Description:
  • Support the delivery and administration of multiple installation projects throughout their full lifecycle.
  • Partner with multiple Project Managers to ensure projects are completed on schedule, within budget, and in accordance with client expectations.
  • Set up and maintain projects within financial and project management systems.
  • Serve as the central point of communication by maintaining, distributing, and updating project documentation and information.
  • Monitor project schedules by following up with team members on outstanding tasks, action items, and issue logs.
  • Document project activities, updates, and progress within project management software.
  • Provide regular project status updates to clients and internal stakeholders.
  • Research, compile, and process project data, including data entry, reporting, and performance metrics.
  • Monitor project budgets, actual costs, and financial commitments using the company's financial systems.
  • Coordinate project activities across departments including Sales, Engineering, Purchasing, Warehouse, Service, Safety, and Field Operations.
  • Maintain organized electronic and hard-copy project documentation in accordance with company record retention policies.
  • Prepare purchase orders and coordinate material procurement with the purchasing team.
  • Track project materials with Warehouse, Engineering, Field Supervisors, and Project Managers to ensure timely delivery and inventory reconciliation.
  • Prepare project invoices and collaborate with Project Managers and Accounts Receivable to track client billing and payments.
  • Assist with project closeout documentation and coordinate project turnover for warranty and ongoing service support.
  • Perform additional duties and responsibilities as assigned.
