    Position Overview:

    Under the supervision of the Associate Director of Administrative Services, the Project Coordinator is responsible for managing Harris County Public Healths contracts post-award through the end of their life-cycle. The position works independently in a highly organized manner in collaboration with all Public Health offices and divisions and liaises with vendors as well as other County departments.

    Duties and Responsibilities:

    • Leads kick-off meetings between newly awarded vendors and Public Health to establish the contractual relationship and ensure contractual expectations are set.

    • Ensures newly awarded vendors are set up as suppliers in STARS, ensuring a requisition has been created and a purchase order dispatched (if applicable for the contract).

    • Monitors each contract for compliance with legal requirements, amount spent, and milestones being met.

    • Manages contract renewals and amendments by tracking key contract dates, coordinating with offices and divisions to identify required changes, and ensuring timely execution prior to contract expiration.

    • Review and provide status updates on Harris County Attorney Memo Application items on a weekly basis.

    • Save and store Commissioners Court approved documents on the intranet site, in CLEAR, and in the contract repository to ensure it is up to date and accurate on all contract information and documentation.

    • Escalates contract or vendor issues to the appropriate party and coordinates with CAO and/or Purchasing on contract disputes.

    • Assists with other duties as needed.

    Requirements

    Education:

    • Bachelors Degree in Business, Legal Studies, or related field.

    Knowledge, Skills and Abilities:

    • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)

    • Excellent communication skills (verbal & written)

    • Excellent reasoning and judgment skills.

    • Knowledge of business administration and advanced secretarial practices and procedures.

    • Knowledge of customer service practices and procedures.

    • This is a Regular | Full-Time position.

    • Monday - Friday | 8:00a.m. - 5:00p.m.

    • Other days and hours as necessary.

    Work Environment:

    • This job operates in a professional office environment.

    • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

    • May require travel.

    Physical Demands:

    • This is largely a sedentary role; however, some duties would require the ability to lift up to 20 pounds and bending & standing for periods at a time.
