The Project Coordinator will perform various activities to support the Clinical Trial Management within LSU Health Shreveport and will report to the Business Manager of the Clinical Trials Office as well as the Director of the Clinical Trials Office. Independent, initiative, and time management skills are essential as the incumbent will work within multiple disciplines. The Project Coordinator will prepare invoices, transfer money received to study account, update records of collected payments, and track expenses pertaining to each clinical trial. The Project Coordinator will create study folders, initiate PeopleSoft account creates, and initiate PeopleSoft account closures. The Project Coordinator will also do monthly audits of study accounts and follow up on accounts receivable. The Project Coordinator must be able to coordinate their efforts with the LSUHS research staff and study sponsors. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur to ensure that customer satisfaction is always met. Special projects will be assigned to this position, and the incumbent will be expected to work independently and expeditiously to meet projected timelines. Regular attendance is required to perform the functions of this position. Essential Position Functions & Duties 85% Project Coordination Initiate PeopleSoft account creates and closures for new studies. Review invoices, budgets, and perform reconciliations on incoming payments. Evaluate potential credits with customers (study sponsors), research team, DDOTs system, study budget, and standard operating procedures. Create invoices and monitor outstanding milestones. Follow-up with customers on outstanding payments and past due invoices. Work with Department of Reimbursements to ensure policy is being followed by auditing DDOTs against PeopleSoft. Evaluate outstanding payments to be sent to collections. Review and track study expenses. Maintain CTMT clinical trial files to ensure all invoices, financial documentation, and correspondence are properly filed and complete Define invoice data types and maintain invoice/payment databases. Upload and archive invoice data. Input data and checking the accounting system to ensure accuracy of final billing requirements. Perform payment reconciliation at study close-out to ensure all milestones and invoiceables have been paid, and that payments in the LSUHS systems match those in the customer's systems. Assist with financial audits by speaking with auditors, providing requested documentation, and following up with action items identified during the audit. Review internal records against hospital payables to ensure accuracy and prevent double billing. Work with Ochsner staff on hospital payables generated by study participant visits. Review, edit, and approve payables before sending to the Business Manager for final review. Submit Direct Pay requests for credits to customers and contract or vendor payments. 10% Administrative Duties Provide assistance to the Business Manager, Director, or Medical Director as needed.
