The Fountain Group is a national staffing firm and we are currently seeking a ­­­­­­­­Project Coordinator III for a prominent client of ours.  This position is in Lake County, IL 60064. Details for the position are as follows:

Project Coordinator III

Location: Lake County, IL
Schedule: 100% Onsite
Pay Rate: $38-$41/hr
Duration: Long-Term Contract

Position Overview

Our client, a leading global pharmaceutical organization, is seeking a highly organized and proactive Project Coordinator III to support strategic initiatives within the Quality, Medical & Governance (QM&G) organization. This individual will serve as a key operational partner to senior leadership, providing project coordination, executive support, meeting and event management, and cross-functional collaboration across Research & Development stakeholders.

The ideal candidate combines strong project coordination experience with exceptional organizational skills, executive-level professionalism, and the ability to manage multiple priorities in a fast-paced environment. Experience supporting pharmaceutical, biotech, clinical operations, medical affairs, or R&D organizations is highly preferred.

Key Responsibilities

Project Coordination & Operations

  • Provide project management and operational support for cross-functional initiatives and strategic programs.
  • Coordinate project activities including meeting scheduling, agenda development, action item tracking, status updates, and follow-up communications.
  • Maintain project documentation, participation rosters, and shared repositories.
  • Create and manage SharePoint sites, Microsoft Teams channels, OneNote workspaces, and other collaboration tools to support project teams.
  • Monitor project deliverables and timelines while escalating risks or issues when appropriate.
  • Support governance processes and stakeholder communications.

Executive & Administrative Support

  • Provide direct support to senior leadership, including calendar management, travel coordination, expense reporting, and correspondence management.
  • Coordinate leadership meetings, workshops, offsite events, and large-scale departmental initiatives.
  • Prepare presentations, reports, business documents, and meeting materials.
  • Serve as a liaison between leadership, stakeholders, and external partners.

Event & Meeting Management

  • Lead planning and execution of department meetings, workshops, annual team meetings, leadership offsites, and special events.
  • Coordinate logistics including venue management, catering, travel arrangements, communications, and meeting materials.
  • Ensure activities comply with company financial, ethical, and procurement guidelines.
  • Manage event budgets and vendor relationships while maintaining cost efficiency.

Cross-Functional Collaboration

  • Partner with Procurement, Finance, suppliers, business managers, and project teams to support contractual agreements and project advancement.
  • Build strong working relationships across R&D, Medical Affairs, Quality, and other business functions.
  • Maintain confidentiality while supporting sensitive business initiatives.

Required Qualifications

  • Bachelor's degree with 5+ years of relevant experience OR 10+ years of equivalent professional experience.
  • Experience supporting projects within pharmaceutical, biotechnology, healthcare, clinical operations, medical affairs, research, or R&D environments.
  • Strong project coordination, organizational, and administrative support experience.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities with minimal supervision.
  • Strong attention to detail and problem-solving skills.
  • Comfortable interacting with senior leaders and executive-level stakeholders.
  • Experience handling confidential and sensitive information.

Preferred Qualifications

  • Experience supporting PMO, project management, operations, or executive leadership teams.
  • Proficiency with Microsoft Office Suite, including:
    • Word
    • Excel
    • PowerPoint
    • Outlook
    • Teams
    • SharePoint
    • OneNote
    • Project
  • Experience using Smartsheet.
  • Familiarity with AI productivity tools such as Microsoft Copilot, ChatGPT, or similar platforms.
  • Experience coordinating large meetings, workshops, or corporate events.
