Project Coordinator – Incentives & Digital Retail Operations
Location: Warren, MI (Hybrid)
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Hybrid Schedule: In-office Tuesday, Wednesday, and Thursday; remote Monday and Friday. Occasional evening or off-hours support is required during monthly launches.
Position Summary
We are seeking a Project Coordinator to support cross-brand incentive and offer management initiatives for a large automotive organization. This role serves as a key operational partner, helping coordinate monthly offer launches, maintain incentive data, support technical releases, and ensure digital retail experiences accurately reflect current offers and promotions.
Working closely with business teams, technical partners, brand stakeholders, and external agencies, you'll help manage timelines, troubleshoot issues, document processes, and support ongoing enhancements to customer-facing digital retail platforms.

Key Responsibilities
Offer & Incentive Management
- Coordinate monthly offer authoring activities across multiple brands and digital retail experiences
- Review, validate, and maintain incentive and offer data to ensure accuracy across customer-facing applications
- Support enhancements and updates as business requirements evolve
- Ensure offers are launched accurately and on schedule
Project Coordination
- Assist with project planning, scheduling, and timeline management for technical enhancements and monthly releases
- Coordinate deliverables across business, technical, and agency partners
- Monitor project milestones and proactively communicate risks or delays
- Support multiple concurrent workstreams while managing changing priorities
Release & Technical Support
- Support User Acceptance Testing (UAT) and release validation activities
- Assist with release readiness planning across multiple environments
- Troubleshoot issues impacting offer setup, display, and downstream systems
- Help resolve Level 2 JIRA support requests and field escalations
- Build an understanding of incentive systems, web services, APIs, and downstream integrations
Cross-Functional Collaboration
- Partner with internal business teams, brand teams, IT organizations, and external agencies
- Gather and clarify business and technical requirements
- Coordinate application and web service upgrades
- Facilitate communication between stakeholders to ensure successful project execution
Documentation & Process Improvement
- Develop and maintain documentation supporting operational processes
- Improve organization and documentation strategies to increase efficiency
- Escalate risks, issues, and process gaps that could impact monthly launches
- Participate in continuous improvement efforts that enhance operational performance
Required Qualifications
Education
- Bachelor's degree in Business Administration or a related field preferred
- Equivalent professional experience will also be considered
Experience
- 2–4 years of experience supporting business operations, project coordination, offer management, digital retail, or a related function
- Experience managing multiple priorities in a fast-paced environment
- Experience working with cross-functional business and technical teams
Technical Skills
- Experience supporting incentive programs, offer management, or digital retail operations
- Strong Microsoft Office proficiency
- Ability to understand interconnected systems and technical concepts
- Familiarity with APIs, web services, or system integrations is a plus
- Experience working with JIRA or similar issue-tracking tools preferred

Work Environment
This is a hybrid position based in Warren, MI.
The team follows a recurring monthly launch cadence supporting time-sensitive offer releases. During launch periods, occasional evening or off-hours work may be required to ensure successful deployment. Launch days often offer scheduling flexibility, with later start times to accommodate extended support hours.
