Job Title: Project Coordinator

Job Description

The Project Coordinator supports Project Managers and field teams across active construction projects, ensuring work stays organized, on schedule, and runs efficiently. This role focuses on scheduling, billing, data entry, and internal coordination, and is ideal for a detail-oriented, proactive professional who is eager to grow within the construction industry. While technical skills can be trained, strong communication, initiative, and professionalism are essential.

Responsibilities

  • Support Project Managers with daily project coordination and administrative activities to keep projects running smoothly.
  • Assist with project scheduling, track timelines, and update project status to ensure milestones are met and communicated clearly.
  • Manage billing support, including coordinating invoicing and tracking job costs to maintain accurate financial records.
  • Coordinate per diem and logistics for field staff, including arranging travel and accommodations as needed.
  • Maintain clear and consistent communication between project teams, field personnel, and internal departments to support alignment and collaboration.
  • Assist with accounts receivable functions, including tracking payments and following up on outstanding items when necessary.
  • Enter, update, and maintain project data within internal systems, with experience in Spectrum or similar ERP/accounting systems considered a plus.
  • Organize and maintain project documentation, reports, and records to ensure information is accessible and up to date.
  • Support general office and project operations as needed, contributing to a smooth and efficient work environment.

Essential Skills

  • 1-5+ years of experience in project coordination, construction administration, or a similar role, preferably within the construction industry.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent written and verbal communication skills to interact effectively with both office and field staff.
  • High level of professionalism and attention to detail in all aspects of work.
  • Self-starter with a proactive, "go-getter" mindset and a strong willingness to learn.
  • Experience with construction software such as Spectrum or similar ERP/accounting systems.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Ability to maintain accurate data entry and documentation within internal systems.

Additional Skills & Qualifications

  • Experience in the construction industry, particularly with infrastructure or heavy civil projects, is preferred.
  • Comfort working closely with Project Managers, field personnel, and internal departments in a collaborative environment.
  • Coachable attitude and openness to hands-on training on technical aspects of the role.
  • Dependable, professional, and easy to work with, contributing positively to team dynamics.
  • Strong interpersonal skills and the ability to build effective working relationships.
  • Familiarity with billing processes, job cost tracking, and accounts receivable procedures.
  • Ability to manage per diem and travel logistics for field staff efficiently.
  • Interest in long-term growth within a stable and respected organization.

Work Environment

This role is based on-site in an office environment in Kansas City, Kansas. The position offers exposure to large-scale infrastructure and heavy civil construction projects within an established, family-owned company with over a century in the industry. The work setting is professional and team-oriented, with supportive colleagues and hands-on training to help you develop technical skills and grow in your career. You will primarily work with office technologies such as Microsoft Office and construction ERP/accounting systems like Spectrum, while collaborating closely with both office and field staff in a stable and respected organization.

This is a Contract to Hire position based out of Kansas City, KS.

Pay and Benefits

The pay range for this position is $38.00 - $40.00/hr.
