    Job Description:

    Overview:

    The Project Coordinator will provide comprehensive project support to multiple project teams and senior leaders, ensuring smooth and efficient delivery of projects through coordination, documentation, and process management.

    Responsibilities:

    • Maintain and monitor project plans, schedules, work hours, budgets, and expenditures as directed.

    • Create, modify, and produce detailed documents such as letters, proposals, reports, spreadsheets, and memorandums using MS Office Suite, primarily MS Excel and MS Word.

    • Assist multiple Project Managers and senior leaders with documentation required for the timely delivery of projects.

    • Develop and implement project controls, including dynamic dashboards, client-side reporting modules, and real-time status metrics.

    • Support the implementation and management of project websites, information resources, and process automation tools.

    • Process and distribute confidential and sensitive information/documents.

    • File, retrieve, and manage corporate documents, records, and reports using SharePoint, Power BI, Power Apps, ESRI, or similar software as part of project workflows, including user credentialing.

    • Coordinate calendars, schedules, meetings, trainings, and travel arrangements as requested.

    • Prepare meeting materials, agendas, and coordinate catering for luncheons, celebrations, and client or internal meetings.

    Qualifications:

    • Bachelor’s degree in business or a related field of study preferred.

    • A minimum of 5 years’ experience in a similar support role, preferably in the AEC industry.

    • Previous experience handling highly sensitive and confidential information in an administrative capacity.

    • Exceptional communication skills, both oral and written.

    • Strong interpersonal skills with the ability to collaborate effectively with employees at all levels within an organization.

    • Advanced proficiency in MS Office Suite, particularly MS Excel and MS Teams.

    • Ability to meet deadlines and adapt to changing work assignments and priorities with professionalism.

    • Strong organizational and time management skills with a customer-service orientation.

    • High level of accuracy and attention to detail in work products.

    • Ability to work independently with a high level of initiative.

    • Ability to work Monday- Friday, 8am- 5pm with overtime as needed.
