Summary:

The Project Coordinator (PC) reports to the Project Manager (PM).  The PC develops and implements maintenance and repair schedules for overseas technicians in support of Department of State facilities.

Responsibilities:

Essential Job Functions:

  • Develop and implement schedules, utilizing work plans
  • Communicating with internal and external stakeholders, and coordinating the support required for scheduled projects
  • Work internally and externally to confirm travel arrangements, passports, visas and country entry requirements
  • Track all needed documents, materials and scopes to ensure trips can be executed efficiently and effectively
  • Contribute to updates and improvements for internal processes and procedures.
  • Assist with Client deliverables and reports
  • Create and submit eCCs and all other pertinent data required for scheduled projects
  • Serve as the primary POC for all schedule items, to include Embassy personnel, client personnel, and Program Management Office (PMO) and field personnel
  • Research and record, travel related information
  • Respond to urgent requests requiring expedited response to high level client stakeholders
  • Track program goals and target numbers
  • Provide rotational on-call support during off hours to support travel emergencies
  • Additional tasks and duties as assigned
Qualifications:

Necessary Skills and Knowledge:

  • Must have experience with Microsoft Office Suite
  • Excellent oral and written communication skills
  • Strong organizational, time management, and task prioritization skills
  • Strong ability to multitask and work in a very fast paced environment
  • Ability to work independently and with a team

Minimum Qualifications:

  • High School Diploma or GED equivalent
  • Level 1 –
    • Minimum 1 – 3 years of related experience
  • Level 2 –
    • Minimum 3+ years of related experience
  • Level 3 -
    • Minimum 5+ years of related experience
    • Proficient in the management of 1-5 staff members
  • Ability to obtain a Secret Clearance
