JOB SUMMARY AND QUALIFICATIONS

The project coordinator will partner with team members from across the organization and external partners to support various projects aiming to improve internal functions and/or to develop and launch new or expanded services. This position will ensure that Volunteers of America Mid-States continues to meet the critical needs of those in our communities with the greatest need.

REQUIREMENTS

To be considered for this role, you must have:

  1. A bachelors degree in business administration, project management, public administration, nonprofit management, social work, or related field.
  2. 1-2 years of experience in project management or coordination.
  3. Strong written and verbal communication skills.
  4. Proven ability to prioritize and manage multiple projects and relationships.
  5. Attention to detail, including organization, diligence, and time management skills.
  6. Knowledge of Envisio or project management software is a plus.
  7. Knowledge of construction projects and operations is a plus.

RESPONSIBILITIES

As a project coordinator, you will be responsible for:

  1. Coordinating and managing projects across multiple programs with both internal and external focus.
  2. Supporting program expansions and projects by managing tasks such as locating office spaces, managing IT requests, procuring furniture, and facilitating other start-up needs.
  3. Developing detailed project task lists, assigning responsibilities to appropriate team members, and monitoring progress to ensure timely completion of deliverables.
  4. Planning, scheduling, and facilitating cross-departmental meetings to ensure productive collaboration and clear communication.
  5. Participating in the development, management, and monitoring of project budgets to ensure responsible use of resources.
  6. Creating, managing, and maintaining comprehensive project timelines to guide execution and track milestones.
  7. Identifying, assessing, and addressing project risks, resolving issues, and responding to questions and concerns that arise.
  8. Serving as a liaison between the organization and external project partners, fostering effective relationships and information flow.
  9. Maintaining consistent communications with program and department leaders, providing updates on project status, challenges, and achievements.
  10. Ensuring that all project deliverables meet expectations.
  11. Maintaining accurate and organized project documentation, including reports, records, and DocLink.
  12. Conducting research to support business development initiatives and internal projects, including the strategic use of AI tools when applicable.
  13. Providing logistical coordination for program launches, site visits, event setups, and other in-person needs to ensure smooth execution.
  14. Supporting the planning and implementation of events, such as major fundraisers, panel discussions, and other initiatives that require management expertise.
