Position Summary
We are seeking a highly organized and detail-oriented Project Coordinator to support procurement and estimating operations. This role will play a key part in vendor management, project coordination, and cost analysis, partnering closely with internal teams to ensure successful project execution. The ideal candidate brings strong organizational skills, analytical thinking, and at least 5 years of relevant experience in procurement, construction, or project coordination.
Key Responsibilities
- Coordinate vendor onboarding, including collecting, reviewing, and tracking required documentation
- Maintain and update vendor records in procurement systems (e.g., Ivalua, Yardi) to ensure data accuracy
- Support RFP and bid processes by gathering vendor quotes, preparing comparisons, and coordinating vendor communications
- Coordinate site visits, pre-bid meetings, and vendor clarification calls
- Track vendor compliance, insurance renewals, and performance metrics
- Assist with development and maintenance of procurement and project schedules, timelines, and deliverables
- Monitor project milestones, budgets, and status updates, ensuring alignment with project goals
- Partner with internal teams (construction, legal, accounting) to support project execution
- Prepare project status reports, presentations, and leadership updates
- Support cost estimating efforts by collecting vendor/subcontractor pricing and preparing cost analyses and bid leveling sheets
- Research market trends and pricing to support competitive and accurate estimates
- Manage procurement and estimating team inboxes and route requests appropriately
- Maintain organized digital records of contracts, vendor documentation, and project files
- Prepare reports, spreadsheets, and presentations as needed
Qualifications
- Bachelor's degree required (Business, Construction Management, or related field preferred)
- Minimum of 5 years of experience in procurement, project coordination, construction, or a related field
- Strong organizational and time management skills with the ability to manage multiple priorities
- Excellent communication and interpersonal skills, with experience working cross-functionally and with external vendors
- Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint)
- Experience with procurement or property management systems (e.g., Ivalua, Yardi) preferred
- Strong analytical skills with high attention to detail and accuracy
- Ability to thrive in a fast-paced, deadline-driven environment
Pay Details: $80,000.00 to $100,000.00 per year
