Position Description:

We are looking for a Project Coordinator to join our TELUS Digital AI team! The Project Coordinator will be in charge of assisting our Project Managers in organizing our ongoing projects, as well as leading our Scheduling Team. Suitable candidates are self-guided, energetic, and analytic problem solvers.

The successful candidate should have exceptional verbal, written, and presentation skills, along with the ability to work under tight deadlines.

Main Responsibilities:

  • Planning and management of small projects and sub projects independently
  • Lead and mentor a small team of Scheduling Assistants (3-5 team members), providing training and technical guidance to ensure team success.
  • Oversee the high-volume scheduling process, including setting appointments with customers/participants and managing all related information and status tracking.
  • Establish and maintain team quality control measures to track the effectiveness and efficiency of production.
  • Independently plan and manage small projects or sub projects, or work in cooperation with senior Project Managers.
  • Communicate proactively with internal resources to organize workflows and facilitate collaborative work across teams.
  • Ensure the timely delivery of project requirements, strictly adhering to customer quality standards.
  • Maintain project momentum by supporting the creation and distribution of project artifacts and communications.
  • Requirements:
  • Minimum 2 years of experience in a project coordination role (Mandatory)
  • Minimum 1 year of experience in leading or supervising a small team (2-6 people). (Mandatory)
  • Demonstrated ability to manage and prioritize large volumes of email correspondence and complex scheduling calendars.
  • Exceptional verbal, written, and presentation skills, with comfort in making high-volume outbound phone calls.
  • High level of technical proficiency, including mastery of spreadsheets, Google Workspace (G Suite), and Office tools.
  • Fluent in spoken and written English.
  • Proven strong decision-making and problem-solving capabilities.
  • Ability to work in fast-paced, adaptive environments with a minimum degree of supervision.
  • Proactive and solution-oriented with a strong eye for detail and data.
  • Excellent multitasking abilities.
