Job Description:

Position Salary Range: $55,000-$65,000 per year; DOE

UDI seeks a detail oriented, organized, and collaborative Project Coordinator to support the successful delivery of client engagements and operational activities across the U.S. Practice.  This role plays an important part in ensuring projects are well-coordinated and supported to ensure delivery of high-quality work.  Working closely with project teams, the Project Coordinator will support project planning, meeting coordination, budget tracking and documentation, communications and event logistics across a portfolio of engagements.

The Ideal Candidate Will:

  • Support project teams by coordinating meetings, tracking action items, maintaining project documentation, and ensuring timely follow-through on deliverables.

  • Adapt quickly to changing priorities and project needs while maintaining a high level of accuracy and responsiveness.

  • Demonstrate a customer-service mindset when working with clients, stakeholders, and team members across diverse projects and engagements. 

  • Communicate clearly and professionally with internal and external stakeholders.  

  • Take initiative to identify issues, propose solutions, and support continuous improvement efforts.

  • Demonstrate curiosity and a willingness to learn project management tools, methodologies, and best practices.

 

The Ideal Candidate Has:

  • Experience supporting projects, programs, events, operations, or administrative functions in a professional environment.

  • Experience with scheduling meetings, coordinating calendars and providing overall administrative scheduling support.

  • Strong organizational skills and attention to detail with demonstrated ability to manage multiple tasks simultaneously.

  • Experience using project management, collaboration and/or productivity tools to track work and support project execution.

  • Experience coordinating meetings, events, workshops or similar delivery-based efforts. 

  • Experience with budget and expense management.

  • Strong written and verbal communication skills. 

This position is based on-site at UDI’s Novus offices, located on the ASU Tempe Campus.

The role will report to the Executive Director, U.S. Practice.

Essential Duties:

  • Coordinate Project Activities: Support project teams by scheduling meetings, maintaining project documentation, tracking action items, and monitoring timelines, milestones, and deliverables across multiple engagements.

  • Support Stakeholder and Client Engagement: Assist with meeting preparation, communications, workshop logistics, and other coordination activities that help ensure a positive experience for clients, partners, and project teams.

  • Support Administrative and Operational Tasks:  Support project and operational activities including maintaining project systems, preparing reports, tracking expenses, processing documentation, and ensuring information is organized and accessible.

  • Contribute to Team Effectiveness and Continuous Improvement: Capture lessons learned, maintain project resources and templates, and support efforts to improve processes, strengthen operational effectiveness, and enhance the scalability of the U.S. Practice and UDI.

Desired Qualifications:

  • Experience working in higher education, non-profit, consulting, public sector or other mission-driven environments.

  • Experience supporting budget tracking, expense submissions and reporting, or other financial administration activities.

  • Demonstrated ability to plan, prioritize, and manage multiple tasks while maintaining attention to detail.

  • Experience working with stakeholders, including executive leaders, clients, and cross-functional teams.

  • Use critical thinking to make decisions and/or analyze and report data/results.

  • Strong customer service orientation and commitment to delivering high-quality support.

  • Preferred experience with Airtable, Stova, Constant Contact, Workday, Qualtrics, Google Suite and MS Office suite.

Working Environment:

  • Activities are performed in an environmentally controlled office setting, subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.

  • Regular activities require ability to quickly change priorities which may include and/or be subject to resolution of conflicts.

  • Infrequent bending, reaching, lifting, pushing, and pulling up to 25 pounds.

  • Regular use of standard office equipment including computer workstation/laptop, printer, fax, calculator, copier, telephone, and associated peripherals.
