Position Overview
The Project Director / Estimator at Frontier Services Group is responsible for the financial and administrative ownership of assigned reconstruction projects, from estimate to final billing. This includes writing accurate scopes, securing signed agreements, managing draw schedules, submitting supplements, maintaining project documentation, and ensuring complete financial closeout.
The Project Director / Estimator does not manage the field production or subcontractor coordinationthat remains with the assigned Project Manager. Instead, the Project Director / Estimator focuses on scope integrity, client communication, billing compliance, and documentation accuracy in Procore.
Key Responsibilities
1. Estimating & Contract Execution
Perform site inspections, including Docusketch capture and condition documentation
Write detailed estimates in Xactimate and Symbility (ESX, PDF) with defined turnaround
Present scope and pricing to the customer, clarify contract terms, and secure signed work authorization
Upload estimate documents and signed contracts to Procore within 24 hours of execution
2. Customer Communication & Documentation
Serve as the primary administrative point of contact for the customer throughout the project lifecycle
Provide regular updates on draw requests, supplements, and billing
Maintain accurate Procore records: estimates, contracts, draw logs, supplements, approvals, and COS
Coordinate with accounting to ensure billing cadence matches executed draw schedule
3. Draw Payment Management
Create and communicate the project draw schedule at time of contract execution
Proactively initiate draw requests in alignment with production milestones
Track received payments and follow up on any delays or customer issues
Collaborate with PMs to confirm readiness for each billing stage
4. Supplement Management
Identify potential supplements due to scope gaps, unforeseen conditions, or code upgrades
Work with PM and field team to gather required documentation (photos, change conditions, invoices)
Submit supplements to carriers or customers, track approval status, and update financials accordingly
Maintain supplement logs and revised estimate versions in Procore
5. Financial Closeout
Ensure all required project documentation is completed: COS, final photos, punch list approvals
Confirm all drawing payments and supplements have been received
Submit final invoice package and close out project in coordination with accounting
Archive all job documentation in Procore according to company policy
Role Boundaries What This Position Does Not Include
Daily scheduling, field coordination, or subcontractor oversight (handled by PM)
Project budget creation or buyout responsibilities (handled by PM)
Subcontractor procurement, progress inspections, or change order execution in the field
Qualifications
Education: High school diploma required; Associates or Bachelors in Construction Management or Business preferred
Experience: 3+ years of experience in restoration estimating or project administration. Experience with insurance-based billing, draw schedules, Xactimate and Symbility scopes
Certifications: Xactimate Level 2 required, Symbility Certificate preferred, IICRC WRT or FSRT preferred, and OSHA 10 or 30 preferred
Skills: Proficiency in Xactimate and Symbility (desktop version), Microsoft Excel, and Procore. Strong written/verbal communication and organizational skills. High attention to detail in financial tracking and document control.
Work Environment & Requirements
Office-based with periodic job site visits for scope validation or customer meetings
Ability to work on-screen for extended periods managing documents, estimates, and Procore records
Must maintain responsiveness to customers and internal staff throughout the project lifecycle.
