Job Summary
This position supports the estimating department in preparing accurate and timely cost estimates for heavy civil construction projects, including earthwork, utilities, paving, and transportation infrastructure. This entry-level role focuses on organization, document control, quantity takeoff assistance, and coordination with estimators, vendors, and subcontractors.
This is an in-office position and this person will report to the office in Palmyra, NY.
Key Responsibilities
Estimating/Project Management Support- Assist estimators with quantity takeoffs for earthwork, utilities, concrete, asphalt, and structures
- Help prepare bid documents, spreadsheets, and estimate backups
- Enter quantities, pricing, and scope notes into estimating software
- Maintain organized estimate files and historical cost data
Bid Coordination- Download, review, and distribute bid documents (plans, specs, addenda)
- Track bid schedules, deadlines, and submission requirements
- Assist with subcontractor and supplier outreach
- Log quotes and verify scope coverage
Vendor & Subcontractor Communication- Request pricing from suppliers and subcontractors
- Follow up on quotes prior to bid day
- Organize and tabulate subcontractor and supplier pricing
Document Control- Maintain bid logs, addenda logs, and pre-bid meeting notes
- Ensure all addenda are acknowledged and incorporated
- Assist with final bid packaging and submission
Administrative & Team Support- Coordinate with project managers and field staff for historical data
- Support post-bid reviews and estimate handoffs
- Perform general administrative tasks related to estimating and project management
Qualifications
Required- High school diploma or GED (Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred)
- Strong organizational and time-management skills
- Proficiency in Microsoft Excel and basic Microsoft Office tools
- Ability to read and interpret construction plans and specifications (training provided)
- Strong attention to detail
Preferred- Internship or coursework in construction, engineering, or estimating
- Familiarity with heavy civil construction (earthwork, utilities, paving, grading)
- Exposure to estimating software (e.g., HCSS HeavyBid, Bluebeam, Insite, Topcon)
