What You'll Do:
Support Project Managers by coordinating project activities, schedules, documentation, and communication throughout the project lifecycle.
Assist with project planning by organizing timelines, tracking milestones, and helping ensure deliverables remain on schedule.
Coordinate with internal teams, vendors, customers, and subcontractors to facilitate project execution and resolve routine issues.
Maintain project documentation, including contracts, submittals, O&Ms, change orders, meeting notes, and project files.
Track project budgets, purchase orders, invoices, and other financial documentation, providing updates to the Project Manager as needed.
Monitor project progress and prepare regular status reports, highlighting schedule updates, potential risks, and outstanding action items.
Assist with scheduling project meetings, coordinating resources, and following up on assigned tasks to keep projects moving forward.
Support quality and compliance efforts by ensuring project documentation is accurate, complete, and maintained according to company standards.
Assist with project closeout activities, including final documentation, customer deliverables, and lessons learned.
What You'll Need:
2+ years of project coordination, project administration, construction administration, or related experience with a general contractor, equipment manufacturer, equipment distributor, or industrial services organization.
Associate's or bachelor's degree in Business, Construction Management, Engineering, Project Management, or a related field preferred, or equivalent combination of education and or experience of job related industry.
Familiarity with municipal water/wastewater equipment & instrumentation processes, is a plus.
Ability to read and interpret engineered specifications, construction drawings, and P&IDs (Piping and Instrumentation Diagrams).
Strong organizational and time management skills with the ability to manage multiple projects and competing priorities simultaneously.
Proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Bluebeam, Teams, and Microsoft Project and/or Planner.
Experience with AutoCAD or similar drafting software is preferred but not required.
Strong written and verbal communication skills with the ability to collaborate effectively across departments, with customers, Engineers and General Contractors.
Detail-oriented with the ability to work independently, solve problems proactively, and meet deadlines in a fast-paced environment.
