The Project manager will be responsible for overseeing and coordinating the selection and implementation of project and program management tool. The candidate will be responsible for engaging with different stakeholders across the organization, building a roadmap, conducting change management, and tracking project progress through monitoring, evaluation and reporting. The candidate will work closely with the Project Management Team.

Primary Responsibilities and Activities
Assist the Program Management Team to:
• Map workflows and processes for the project management tool (intake, outcome and expected criteria to define).
• Establish criteria for an RFI (Request for Information)/RFP (Request for Proposal), including workflow integration with Microsoft 365 and existing systems, governance, and auditability, vendor/contract management and budget.
• Coordinate with vendors during the RFI/RFP process, demonstrations, and contract negotiations.
• Gather requirements and establish criteria to configure the project management tool to support standardized project lifecycle stages, approval processes, governance checkpoints, and assigned decision-making responsibilities.
• Define roles and responsibilities for system administrators, project managers, sponsors, and governance structure.
Risk & Quality Management:
• Maintain a project risk and issue register in collaboration with the project team and relevant second-line oversight functions. Identify, assess, monitor, escalate, and report project risks and mitigation actions throughout the project lifecycle.
• Monitor and report on key performance indicators (KPIs) and success criteria throughout the project lifecycle.
• Work closely with the Project Management Team for updates and reporting on progress.
• Develop templates, standards, and procedures to ensure consistent use of the tool
• Testing of the selected project management tool to align with organizational processes and standards.

Education and Experience
• Advanced degree in computer science, project management or a similar field. A first level degree may be accepted, in combination with two more qualifying years of experience.
• 7 years of proven experience in project management and stakeholder engagement.
• At least 5 years of experience operating within highly regulated or financial institutions is desired.
• Proven track record of leading at least one to three enterprise-wide project management tool implementations is required (such as: ClickUp, ServiceNow Strategic Platform Management, …etc.).
Required Knowledge and Skills
• Proficiency working with Microsoft Suite (Word, Power Point, MS Projects, Excel)
• Ability to effectively track project status, raise alerts and keep an up-to-date status.
• Ability to effectively plan, organize and oversee the different stages of the project.
• Proficiency in designing workflow, mapping processes.
• Desired: Prince 2 Certification, PMI, Agile, scrum master
Skills:
• Strong problem-solving skills, with ability to translate application storyboards and use cases into functional applications.
• Ability to work in a complex environment with changing requirements.
• Strong communication and stakeholder management skills, with the ability to effectively collaborate with and coordinate individuals from diverse teams, facilitate alignment, and build consensus to achieve project objectives.
• Demonstrated ability to take a project from concept to launch.
• Comfort working in a deadline-driven environment.
• Highly organized and effective in managing multiple tasks while maintaining high levels of user satisfaction.

During the assignment the Project Manager will be responsible for delivering the following items:
• A Process mapping workflow detailing technical requirements, process maps and future-state workflows.
• Write up and launch the Request for Information with detailed requirements, and follow up for the RFP, with technical and functional criteria and provide the following documentation:
• Vendor evaluation framework.
• Vendor comparison matrix.
• Recommendation report with scoring methodology.
• Business case and cost-benefit analysis.
• Procurement evaluation report.
Deliver the following over the course of the project:
• executive status reports,
• project board presentations and minutes,
• KPIs and adoption dashboards,
• benefits realization tracking,
• risk and issue reports
• A documented project and program management framework, including governance structure, project lifecycle, templates, workflows, reporting standards, roles and responsibilities, and tool administration procedures.
• Work with the vendor for go-live plan, UAT test plan, and deployment checklist, as well as after go-live checks.
• A standard operating procedure document.
• Project closure report filled in with lessons learned report, knowledge transfer documentation and operational support handover as well as final acceptance and sign-off.
