Summary

The Project Manager - General Session supports the planning, coordinating, and delivering high-production general sessions for large-scale corporate events. This role serves as the operational lead coordinating alignment across creative, production, technical, and client teams, to ensure that all elements from content and run of show to staging, audio/visual, rehearsals, and live execution are delivered flawlessly, on time, and within budget.

The General Session Project Manager acts as the central point of accountability for general session delivery, balancing strategic oversight with hands-on execution and proactively managing timelines, risk, resources, and stakeholder alignment from concept through post-event closeout.

Essential Duties & Responsibilities

  • Manage end-to-end delivery of assigned general sessions from concept development through live execution and closeout.
  • Develop and maintain detailed project plans, timelines, milestones, and deliverables using project management tools such as Workfront or equivalent.
  • Translate creative concepts and client objectives into executable production and operational plans.
  • Drive internal alignment across creative, content, technical production, scenic, digital, and operations teams.
  • Create and maintain the technical drawing (Vectorworks files)
  • Serve as the main client contact for general session planning, ensuring proactive communication and clear expectation management.
  • Facilitate client meetings, planning calls, pre-production meetings, rehearsals, and daily on-site briefings.
  • Provide informed guidance to clients on feasibility, best practices, production tradeoffs, and risk mitigation.
  • Partner closely with Technical Directors, audio, scenic, lighting, video, staging, producers, and show calling teams to ensure alignment across all show elements.
  • Create, maintain, and interpret Vectorworks drawings to confirm feasibility, safety, and alignment with budget and run of show.
  • Develop and manage the production schedule for the general session.
  • Collaborate with Digital Services or Streaming leads to integrate hybrid and virtual production elements as required.
  • Coordinate with labor scheduling partners and national labor resources to ensure appropriate crew staffing and coverage.
  • Maintain working knowledge of union jurisdictions and ensure correct application throughout production planning and on-site execution.
  • Partner with logistics and warehouse teams to manage trucking schedules, load-in/load-out timelines, and equipment coverage.
  • Ensure compliance with company, venue, and industry safety standards; maintain required documentation including Event Flows, Production Workbooks, and Daily Labor Safety Sign-In Sheets.
  • Collaborate on general session related budgets, proactively tracking costs and addressing variances.
  • Review vendor estimates, purchase orders, change orders, and invoices to ensure accuracy and approval alignment.
  • Collaborate on post-show financial reconciliation in partnership with account and solutions teams.
  • Identify safety, technical, timeline, and operational risks early and develop mitigation strategies.
  • Ensure all general session elements meet quality, brand, safety, and client standards.
  • Troubleshoot issues quickly to ensure high quality delivery of expectations.
  • Manages on-site general session execution, serving as a calm, decisive presence backstage and in production command environments.
  • Support all departments in real-time decision-making during live events.
  • Conduct post-event debriefs and contribute to continuous improvement efforts.
  • Communicate and reinforce company safety objectives, programs, and policies within the team. Ensure employees complete required training and understand their safety responsibilities.
  • Maintain compliance with company safety policies and applicable OSHA regulations.
  • Investigate and document workplace accidents, near misses, and hazards promptly, and implement corrective actions as needed.
  • Lead by example by encouraging open communication on safety concerns and fostering accountability for maintaining a safe work environment.
  • Track and review safety performance metrics, using insights to support decision-making and corrective actions.

Education & Experience

  • Bachelor's degree preferred, High School Diploma or Equivalent with relevant work experience required.
  • Minimum of 4 years of experience managing general sessions, live events, or large-scale corporate productions.
  • Strong understanding of live event production, including audio, video, lighting, scenic, staging, rehearsals, and show operations.
  • Experience managing pre-production workflows using tools such as Workfront, Microsoft Office, Vectorworks, and similar systems.
  • Ability to read and work with technical drawings (e.g., Vectorworks).
  • Excellent organizational, communication, and problem-solving skills.
  • Willingness to travel and work extended hours, including evenings and weekends, as required by show schedules.

Preferred Qualifications

  • Experience working at a large event agency, production company, or experiential marketing firm.
  • Familiarity with C-level presenter environments and high-visibility general sessions.
  • PMP or comparable project management certification.
  • Experience supporting hybrid or virtual event production.
