Position Summary 

Black Onyx Management is seeking a competent and driven Project Manager to oversee projects across multiple organization types. This position provides day-to-day oversight of administrative and operational functions to achieve project sustainability, support quality control, and drive success in accordance with defined targets, strategies, and goals. 

Key Responsibilities 

Project Management & Operations  (approx. 40% of role) 

  • Ensure all aspects of client projects are organized and in conformance with timeline and deliverable requirements 
  • Develop and maintain a project performance database to track overall progress and achievement of milestones 
  • Conduct targeted project research and build structured databases to store, manage, and retrieve client project data 
  • Assist in the preparation of program reports, presentations, and proposals 
  • Apply strategic thinking to anticipate challenges, identify opportunities, and align project activities with organizational objectives 
  • Maintain proficiency across relevant IT systems and tools to support project workflows and team productivity 
  • Build and maintain spreadsheets to organize project data, budgets, and reporting metrics 

Client & Stakeholder Relations  (approx. 25% of role) 

  • Share regular updates with Black Onyx Management leadership and client teams as needed 
  • Coordinate interactions and relationships between staff, clients, administrators, and all other stakeholders 
  • Proactively conduct cold outreach to prospective partners, vendors, or stakeholders to advance project goals 
  • Conduct community outreach initiatives to build partnerships, increase stakeholder engagement, and expand organizational reach 

Communications & Marketing  (approx. 20% of role) 

  • Assist in managing marketing and communications efforts including media relations and social media 
  • Design engaging and productive meeting formats, agendas, and facilitation strategies that drive meaningful outcomes 
  • Plan and coordinate all meeting logistics including venue, scheduling, materials, and attendee communications 
  • Develop and manage branded visual materials in support of client communications and project deliverables 

Administrative & Office Management  (approx. 15% of role) 

  • Manage and maintain the CEO's calendar, coordinating high-priority meetings, travel, and scheduling conflicts with discretion 
  • Coordinate client and team calendars as necessary 
  • Supervise and mentor interns, providing day-to-day guidance, task delegation, and performance oversight, while ensuring consistent front desk coverage and a professional first point of contact for clients and visitors 
  • Perform miscellaneous tasks as assigned 

Required Qualifications 

Education & Credentials 

  • Bachelor's degree required; Master's degree preferred 
  • Professional certification such as PMP (Project Management Professional) preferred 

Project Management & Technical Skills 

  • Strong business acumen in project planning and management 
  • Proficiency in managing data and databases to support project and client needs 
  • Proficiency across IT systems and tools including project management software, spreadsheets, and communication platforms 
  • Ability to build and maintain Gantt charts and project tracking tools 
  • Ability to research, analyze, and compile information on specific topics 
  • Basic graphic design capabilities to support visual communications and client deliverables 
  • Meeting design and planning skills, including full logistical support

Compensation 

 $65,000 o $75,000 annually, commensurate with experience and scope of responsibilities
