Position Summary
The Project Manager, Research Operations provides senior-level administrative, operational, and project management support to the Office of the Vice Provost for Research. This role extends the capacity of the Vice Provost by ensuring effective coordination of research initiatives, institutional priorities, and external partnership activities. The position plays a critical role in advancing New York Tech's research enterprise by supporting interdisciplinary collaboration, coordinating major initiatives, and facilitating activities that contribute to sponsored research and institutional growth.
Responsibilities:
Key Responsibilities
- Provide executive-level administrative and operational support, including calendar management, meeting coordination, travel arrangements, and preparation of briefing materials and executive communications.
- Ensure efficient day-to-day operations of the Office of Research, maintaining organization, responsiveness, and alignment with institutional priorities.
- Serve as primary project manager for institutional research initiatives, coordinating across academic units, centers, and administrative offices.
- Track timelines, monitor deliverables, and manage multiple concurrent projects in a deadline-driven environment.
- Support internal review committees by preparing materials, schedules, scoring tools, and summary reports.
- Track internal awards (e.g., ELHs) and coordinate communication of outcomes to Deans, Chairs, and academic leadership.
- Coordinate and manage major research events including SOURCE, Faculty Scholars Day, workshops, seminars, and institutional research events.
- Support initiatives that promote research visibility, interdisciplinary collaboration, and faculty engagement across NYIT.
- Support the development and coordination of external research partnerships by managing communications, tracking opportunities, and facilitating follow-up activities led by the Vice Provost for Research.
- Serve as a liaison between the Office of the Vice Provost for Research, OSPAR, BRIIC, NYIT colleges and schools, and external partners.
- Maintain departmental budget records and assist with financial tracking, reporting, and reconciliation.
- Process purchase orders, invoices, transfers, reimbursements, and related financial transactions.
- Monitor operational expenditures and proactively alert VPR to potential budget concerns.
- Support recruitment, hiring, onboarding, and administrative documentation for research office personnel.
- Coordinate with BRIIC leadership, facilities staff, and research teams on operational and administrative needs.
- Support targeted research initiatives and emerging programs.
- Maintain Office of Research web content and respond to general inquiries related to research operations.
Qualifications:
- Bachelor’s degree required; minimum of three (3) years of relevant experience in research administration, higher education operations, or program coordination.
- Demonstrated experience supporting collaborative initiatives, partnerships, or institutional programs.
- Familiarity with sponsored research environments and external engagement activities preferred.
- Proficiency in Microsoft Office Suite, databases, and administrative systems; experience with Workday or similar financial systems preferred.
- Willingness to engage with emerging technologies, including AI tools, to enhance operational efficiency.
- Strong organizational, time-management, and problem-solving skills with exceptional attention to detail.
- Excellent interpersonal and communication skills with the ability to work effectively across academic and administrative units.
- Demonstrated professionalism, discretion, and sound judgment.
- Ability to work independently in a fast-paced, deadline-driven environment.
Annual Evaluation Criteria
- Executive Support Effectiveness: Responsiveness, organization, and quality of support provided to the Vice Provost for Research.
- Project & Program Management: Successful coordination and timely execution of research initiatives and internal funding programs.
- Research Event Execution: Effective planning and delivery of major research events, measured by timeliness and stakeholder feedback.
- Operational Accuracy: Accuracy and timeliness of financial processing, budget tracking, and administrative coordination.
- Partnership Coordination: Effectiveness in supporting and advancing partnership-related activities, including communication, tracking, and follow-through reviewing by number and quality.
- Communication & Collaboration: Strength of coordination across the Office of Research, BRIIC, academic units, and external stakeholders.
- Productivity & Prioritization: Ability to manage multiple priorities and meet deadlines in a complex research environment.

USD $65,000.00/Yr.
Maximum Salary:
USD $70,000.00/Yr.
