\nPOSITION SUMMARY
\nThe Project Manager is responsible for the successful management, coordination, documentation, and completion of residential and commercial property damage restoration and reconstruction projects.
\nThe Project Manager serves as the primary point of contact between Bulovas Restorations Inc., property owners, insurance carriers, public adjusters, engineers, consultants, subcontractors, vendors, and field personnel.
\nThe Project Manager is expected to ensure that every project is completed safely, professionally, efficiently, and in accordance with company standards, applicable building codes, OSHA requirements, and applicable industry standards, including IICRC standards where applicable.
\nThe Project Manager must protect the interests of both the customer and Bulovas Restorations Inc. while maintaining excellent communication, documentation, production control, and financial accountability.
\nESSENTIAL RESPONSIBILITIES
\n1. PROJECT MANAGEMENT
\nManage restoration and reconstruction projects from initial assignment through final completion.
\nReview the scope of work and establish a clear plan for completing the project.
\nCoordinate labor, materials, equipment, subcontractors, vendors, and schedules.
\nEstablish project timelines and monitor progress to ensure deadlines are met.
\nConduct regular jobsite inspections.
\nIdentify project delays, deficiencies, additional work, and potential problems before they become larger issues.
\nMaintain accurate project documentation throughout the entire project.
\nEnsure projects are properly closed out upon completion.
\n2. CUSTOMER COMMUNICATION
\nServe as the primary point of contact for assigned customers.
\nMaintain professional and consistent communication with homeowners, building owners, property managers, and commercial clients.
\nExplain project scopes, schedules, procedures, changes, and expectations to customers.
\nRespond promptly to customer questions and concerns.
\nMaintain a high level of customer service throughout the project.
\nAddress complaints professionally and escalate issues to management when necessary.
\nEnsure customers understand the work being performed and any changes to the original scope.
\n3. INSURANCE CLAIM COORDINATION
\nCommunicate with insurance adjusters, desk adjusters, field adjusters, public adjusters, engineers, consultants, and other claim representatives.
\nReview insurance estimates and compare them with the actual conditions and required scope of work.
\nIdentify missing or improperly scoped work.
\nProvide supporting documentation for additional work when warranted.
\nAssist with supplements, change orders, and scope disputes.
\nEnsure all work performed is properly documented and supported.
\nMaintain professional communication with insurance representatives while advocating for the customer’s documented restoration needs and Bulovas Restorations Inc.’s contractual rights.
\n4. XACTIMATE & ESTIMATING
\nReview and understand Xactimate estimates and line items.
\nAssist with preparation, review, and reconciliation of project estimates.
\nIdentify necessary line items that may have been omitted from an insurance estimate.
\nReview pricing, quantities, labor, equipment, materials, and subcontractor costs.
\nAssist with supplement documentation and supporting photographs.
\nEnsure project billing accurately reflects work actually performed.
\nMaintain complete documentation supporting billed work.
\n5. FIELD & PRODUCTION MANAGEMENT
\nCoordinate daily production activities with Crew Chiefs, Technicians, and subcontractors.
\nAssign manpower based on project requirements.
\nCoordinate equipment and material deliveries.
\nMonitor daily production and jobsite conditions.
\nVerify that work is being completed according to the approved scope.
\nEnsure technicians properly document work performed.
\nReview photographs, moisture readings, drying documentation, equipment logs, daily reports, and other required documentation.
\nVerify that equipment is being used appropriately and efficiently.
\nEnsure containment, demolition, cleaning, drying, contents handling, reconstruction, and other restoration activities are properly coordinated.
\n6. SAFETY & COMPLIANCE
\nEnsure all employees and subcontractors follow company safety policies.
\nEnforce proper PPE requirements.
\nMaintain awareness of OSHA requirements applicable to restoration activities.
\nEnsure appropriate safety procedures are followed for fire, water, mold, sewage, structural, environmental, and other hazardous conditions.
\nIdentify unsafe conditions and immediately take corrective action.
\nEnsure appropriate containment and engineering controls are utilized when required.
\nReport accidents, injuries, property damage, and safety concerns to management immediately.
\n7. RESTORATION INDUSTRY STANDARDS
\nThe Project Manager is expected to understand and apply applicable restoration industry standards and best practices, including:
\nIICRC standards and guidelines
\nOSHA requirements
\nApplicable building codes
\nManufacturer specifications
\nEnvironmental and safety requirements
\nCompany restoration procedures
\nThe Project Manager must understand that restoration decisions should be based on actual site conditions, documentation, industry standards, safety requirements, and the proper restoration of the property—not simply on an insurance estimate.
\n8. SUBCONTRACTOR & VENDOR MANAGEMENT
\nSchedule and coordinate subcontractors and vendors.
\nVerify subcontractor performance and workmanship.
\nConfirm subcontractors are completing work according to the approved scope.
\nReview subcontractor invoices for accuracy.
\nVerify quantities, labor, materials, and completed work before approving invoices.
\nEnsure subcontractors maintain required insurance, licenses, and documentation.
\nAddress performance issues promptly.
\nMaintain professional relationships with reliable vendors and subcontractors.
\n9. FINANCIAL & JOB COST CONTROL
\nMonitor project budgets and job costs.
\nTrack labor, materials, equipment, subcontractors, and other project expenses.
\nReview project profitability throughout the job.
\nIdentify cost overruns and notify management.
\nPrevent unnecessary expenses and waste.
\nReview purchase orders and vendor invoices.
\nEnsure work is properly documented before billing.
\nAssist management with collection of outstanding balances when requested.
\n10. DOCUMENTATION
\nAccurate documentation is a critical responsibility of the Project Manager.
\nProject Managers must maintain, review, and/or ensure completion of:
\nJobsite photographs
\nDaily project notes
\nMoisture documentation
\nDrying logs
\nEquipment logs
\nScope documentation
\nChange orders
\nSupplements
\nCustomer communications
\nSubcontractor documentation
\nMaterial receipts
\nInvoices
\nWork authorizations
\nCompletion documentation
\nFinal project documentation
\nIf it is not documented, it may be difficult to prove that it occurred.
\n11. QUALITY CONTROL
\nInspect completed work before customer walkthroughs.
\nIdentify incomplete or deficient work.
\nCreate punch lists when necessary.
\nEnsure deficiencies are corrected promptly.
\nVerify workmanship meets Bulovas Restorations Inc. standards.
\nEnsure jobsites remain clean, organized, and professional.
\nConduct final inspections before project closeout.
\n12. ON-CALL & AFTER-HOURS EMERGENCY RESPONSE
\nParticipate in the company’s on-call rotation approximately once per month, with the assigned on-call period generally lasting one week.
\nRemain available and responsive during the assigned on-call period for after-hours emergency calls and job assignments.
\nRespond to after-hours emergency property damage jobs as required, including water, fire, storm, sewage, mold, structural, commercial, and other emergency losses.
\nCoordinate emergency response activities, including customer communication, site assessment, temporary protection, equipment deployment, documentation, subcontractor coordination, and emergency stabilization.
\nFollow all company procedures regarding on-call scheduling, response times, safety, communication, and documentation.
\nCommunicate with management regarding significant losses, safety concerns, staffing needs, and any issues requiring additional support.
\nEMERGENCY RESPONSE RESPONSIBILITIES
\nProject Managers may be required to respond to emergency property damage situations, including:
\nFire damage
\nWater damage
\nStorm damage
\nSewage losses
\nMold remediation
\nStructural damage
\nCommercial losses
\nLarge-loss projects
\nBoard-ups and emergency stabilization
\nThe Project Manager may be required to coordinate emergency manpower, equipment, subcontractors, temporary protection, contents handling, demolition, cleaning, drying, and stabilization activities.
\nLEADERSHIP RESPONSIBILITIES
\nThe Project Manager is expected to lead by example.
\nResponsibilities include:

\nREQUIRED SKILLS & QUALIFICATIONS
\nRequired:
\nPrevious experience in property damage restoration, construction, or project management.
\nStrong organizational and communication skills.
\nAbility to manage multiple projects simultaneously.
\nAbility to read and understand scopes of work and estimates.
\nAbility to communicate professionally with customers and insurance professionals.
\nStrong problem-solving abilities.
\nAbility to work independently and make sound decisions.
\nValid driver’s license.
\nAbility to use computers, smartphones, project management software, email, and related technology.
\nAbility to participate in the company’s on-call rotation and respond to after-hours emergency jobs as required.
\nPreferred:
\nRestoration industry experience.
\nXactimate experience.
\nIICRC certifications.
\nOSHA training.
\nConstruction management experience.
\nExperience handling insurance claims.
\nExperience managing commercial losses.
\nExperience managing subcontractors and vendors.

\nPHYSICAL & WORK ENVIRONMENT
\nThis position may require:
\nFrequent travel to jobsites.
\nWalking through construction and restoration environments.
\nExposure to dust, debris, moisture, odors, heat, cold, and other jobsite conditions.
\nWorking around restoration equipment and construction activities.
\nClimbing stairs and ladders when necessary.
\nEntering attics, crawlspaces, basements, mechanical areas, and other restricted areas when safe and appropriate.
\nParticipation in the company’s on-call rotation approximately once per month, with an assigned on-call period generally lasting one week.
\nAfter-hours response to emergency property damage jobs during assigned on-call periods.
\nProper PPE and safety procedures must be followed at all times.
