The Project Specialist position is responsible for and will include, but not limited to:

Project Coordination:

  • Support ongoing project coordination activities, including vendor communication, training sessions, and general administrative support.
  • Ensure adherence to departmental policies, procedures, and internal controls.
  • Assist in providing project data and updates to internal and external stakeholders as needed.
  • Support project closeout activities.

Contract Administration:

  • Assist with reviewing, preparing, and processing standard and nonstandard contractual agreements.
  • Help identify and resolve contract discrepancies or issues.
  • Maintain contract status by tracking agreements from initiation through full execution and proactively following up on any aging or outstanding contracts to minimize processing time.

Vendor & Invoice Management

  • Initiate and support new vendor onboarding, verification, and compliance documentation.
  • Monitor and update vendor compliance documentation.
  • Review and route invoices for processing, ensuring accuracy and alignment with project requirements.
  • Assist with tracking and coordinating items such as sales use tax, quarterly accruals, COIs, and other compliance materials.

Data & System Management

  • Maintain accurate project data within internal systems and tools (e.g., Intellect).
  • Support monthly updates to financials, forecasts, and project information.
  • Assist with creating new project setups, funding requests, and required documentation.

Reporting & Documentation

  • Organize and maintain project files, reports, and closeout documentation records.
  • Manage tracking logs for administrative tasks, submissions, and required documentation.
  • Support the preparation of reports, summaries, and data requests for internal stakeholders.

Additional Responsibilities may include other tasks as needed to support the overall functions and operations needs of the Organization, as well as reasonable requests from management.

What qualifications do I need?

  • Highschool Diploma/GED
  • 2-3 years related experience
  • Strong Proficiency with Excel, Microsoft Office and general competence in project management systems.
  • Excellent written and verbal communication.
  • Strong interpersonal skills and ability to collaborate with internal teams and external partners.
  • Proven excellent analytical and organizational skills.
  • Proficiency in analyzing and interpreting contractual documents.
  • Flexibility and ability to adapt to a changing work environment.
  • A general understanding of design, construction, or capital project processes is beneficial and preferred.
  • Ability to travel Occasionally.

What skills and competencies would be advantageous?

  • Construction knowledge and contract administration preferred. Hospitality project experience is a plus.
  • BA/BS/Bachelor's Degree
  • 3-5 years related experience
  • 2 + years of management/supervisory experience
