Duration: 24 Months

Shift (if applicable): Monday to Friday 9:00 AM - 6:00 PM, with the team typically operating around 9:30 AM - 5:30 PM

Job Summary:

The Social Specialist provides executive and strategic coordination and support to the Editor in Chief (VP) for National Geographic. The ideal candidate must be able to split time between managing administrative work for the VP (including time, priority meetings, and travel/expenses), and providing support for strategic projects and initiatives across the entire Social organization. Candidate will assist in managing/scheduling delivery of Social stories and major projects that span across teams and support the VP in prioritizing workflow with all priority projects. He/she/they will also work closely with the VP to create presentations, helping to format, design, and structure information, and acquire assets, contributing creatively and strategically to sharing proposals and strategy for both internal and external uses.

The Specialist will also serve in a project management function across the entire Social team. This includes assisting the VP with managing and tracking the delivery of key Social features, including delivery against key milestones. More broadly, you will be responsible for ensuring the seamless integration and alignment of efforts across multiple departments including Social Content Production, Growth Marketing, and Brand Franchise & Strategy. Your keen attention to detail, organizational skills, ability to manage complex projects, and communicate clearly and with authority will be crucial in developing content, coordinating with creative teams, and identifying amplification opportunities to maximize project outcomes.

Candidate ideally has some prior experience in the media/publishing space.

Responsibilities:

* Tactfully manages VP's time, calendar, and communications with leadership team and other stakeholders. Highlights/manages priorities for action and review including emails and phone calls.

* Manages day-to-day scheduling with internal and external teams. This includes multi-time zone video conference coordination for weekly check-ins, creative review, relationship building, and strategic outreach. Coordinates meeting preparation by creating agendas and distributing materials.

* Maintains daily files for meetings including notes/action items to be distributed to meeting attendees.

* Handles in-meeting preparation including occasional hospitality needs like food/beverage as well as general IT support.

* Arranges travel and creates detailed itineraries for VP.

* Prepares and submits business-related expenses and invoices, using Concur/SAP travel in a timely manner and reviewing all direct reports' expenses.

* Regularly reviews and collaborates on departmental budget/expenses.

* Multi-tasks under tight deadlines, and communicates clearly and effectively with departments, Executives, and key internal stakeholders at National Geographic and Disney.

* Maintains staff lists and tracks new hires to ensure VP meets with staff and is aware of personnel changes.

* Coordinates VP Review process (funneling/tracking stories between VP and Social Operations team) to ensure production stays on schedule.

* Manages detailed recording of all Social pitches and tracks progress against key milestones, communicates status updates, and schedules check-in meetings at defined points in the production lifecycle.
