Property Administrator

Position Overview

We are seeking a detail-oriented and customer-focused Property Administrator to support the Property Manager in the day-to-day operations of a commercial property portfolio. This position plays a critical role in ensuring efficient property administration, tenant satisfaction, and operational excellence.

This is a fully on-site position that requires daily interaction with tenants, vendors, visitors, and ownership groups. The ideal candidate thrives in a fast-paced environment, possesses strong organizational skills, and can effectively manage multiple priorities while delivering exceptional customer service.

Key Responsibilities

  • Provide comprehensive administrative support, including answering phones, filing, preparing reports, data entry, and correspondence management.
  • Coordinate meetings, special events, and scheduling activities for property management teams.
  • Assist with lease administration, including lease setup, updates, amendments, reporting, and file maintenance.
  • Prepare and coordinate bid proposals, service contracts, and invoice processing.
  • Maintain property records, lease files, vendor files, insurance certificates, and HVAC contract documentation.
  • Monitor contract and insurance expiration dates and maintain follow-up systems.
  • Assist with monthly and quarterly management reports and annual budget preparation.
  • Prepare financial spreadsheets and administrative reports.
  • Draft and transcribe contracts, leases, proposals, addendums, correspondence, and related documents.
  • Manage office supply inventory and ordering.
  • Serve as the primary point of contact for tenants, vendors, visitors, and prospective tenants.
  • Coordinate tenant move-ins, welcome packages, directory updates, signage, and tenant gifts.
  • Maintain parking access records and building access card databases.
  • Process tenant rebills, including utility charges, HVAC services, and meter readings.
  • Maintain tenant and vendor contact information, insurance documentation, and property databases.
  • Foster positive relationships with tenants, vendors, and ownership groups.
  • Support additional projects and responsibilities as assigned by the Property Manager.

Qualifications

Education

  • High school diploma or GED required.
  • Additional college coursework preferred.

Experience

  • 0-2 years of administrative, clerical, or office support experience required.
  • Commercial real estate or property management experience is a plus.

Technical Skills

  • Intermediate to advanced proficiency with Microsoft Office 365, including Word, Excel, and Outlook.
  • Experience with property management or accounting software such as MRI, Skyline, or Argus is preferred.

Work Environment
