Position Summary:

 

We are seeking a detail-oriented and highly organized Proposal Coordinator to support the development and submission of high-quality proposals in response to RFPs, RFIs, and other solicitation documents. The ideal candidate will collaborate with cross-functional teams to ensure timely, compliant, and compelling proposal submissions that align with company goals and client requirements.

Responsibilities:

Key Responsibilities:

• Coordinate the end-to-end proposal development process, including scheduling, content collection, formatting, and final submission.
• Analyze RFP/RFI requirements and develop compliance matrices and proposal outlines.
• Work closely with subject matter experts (SMEs), writers, and graphic designers to gather and integrate content.
• Maintain and update proposal content libraries and templates.
• Ensure proposals are compliant, well-written, and visually appealing.
• Track proposal progress and deadlines using project management tools.
• Assist in post-submission activities such as debriefs, lessons learned, and archiving.
• Support contract management, proposal to project setup.

Qualifications:

 

• Bachelor’s degree in English, Communications, Marketing, Business, or related field.
• 2+ years of experience in proposal coordination or a similar role.
• Familiarity with proposal processes.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
• Experience with proposal tools (e.g., SharePoint, RFPIO, Loopio) is a plus.

Preferred Skills:

• Experience in power delivery and construction.
• Ability to work under pressure and meet tight deadlines.

Physical Demands and Work Environment 

 

This job operates in a field environment. This role routinely requires extended periods of bending, squatting, climbing, kneeling, pushing, pulling, lifting, lifting in awkward positions, standing, and twisting. Also, working in inclement weather conditions, such as extreme heat, extreme cold, rain, ice, snow, and wind.  

 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. This position is physically active, with lifting required. Must be able to bend and lift and carry up to 50 pounds. Clarity of vision at 20 feet or more or 20 inches or less, with the ability to judge distance and space relationships. Precise hand-eye coordination. Ability to identify and distinguish colors.
