Overview:
NaphCare has an excellent opportunity for a Proposal Coordinator to join the Proposal Development Team at our Corporate Headquarters in Birmingham, AL.
This role supports the company’s client acquisition and retention efforts by assisting in the development of high-quality, compliant, and compelling proposals and sales-related documents for both prospective and current clients. The ideal candidate is detail-oriented, organized, proactive, and skilled in both written communication and project coordination.

Responsibilities:
- Assist the Proposal Development Team in the preparation, coordination, and submission of proposals
- Review Requests for Proposals (RFPs) to identify requirements, deadlines, and deliverables
- Contribute written content and assist in developing clear, persuasive proposal responses
- Develop and implement design elements to make proposals modern, professional, and visually appealing
- Proofread and edit proposal drafts and templates for accuracy, clarity, and consistency
- Ensure all proposal materials meet RFP compliance standards
- Maintain and update proposal templates, appendices, and client lists
- Create proposal components including cover pages, tabs, labels, and appendices
- Track and schedule proposal deadlines using Outlook
- Complete required forms and documentation for proposal submissions
- Coordinate with internal teams to gather items required for proposal submissions
- Support the production, assembly, and shipping of final proposal documents
- Maintain proposal supplies (e.g., paper, binders, toner) and assist with office equipment such as printers and copiers
Qualifications:
- Bachelor’s degree in English, Communications, Business, or a related field (or equivalent experience)
- Strong writing, editing, and proofreading skills
- Exceptional attention to detail and organizational abilities
- Ability to manage multiple deadlines in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Canva, and Adobe
- Strong interpersonal skills and ability to collaborate across departments
Preferred Qualifications:
- Experience in proposal development, grant writing, or sales support
- Familiarity with RFP processes and compliance requirements
