Description

Summary

The Athletics Operations Assistant provides administrative and operational support to the Athletics Department while assisting with game day management, team travel, facilities, equipment, and departmental operations. This position plays an important role in ensuring the successful execution of athletic events and daily departmental functions while delivering excellent customer service to student-athletes, coaches, officials, and campus visitors.

Knowledge & Responsibilities

Essential Duties and Responsibilities

Administrative Support

  • Provide administrative support to the Director of Athletics and Athletics Operations Coordinator.
  • Answer phones, greet visitors, and assist coaches, student-athletes, and guests.
  • Assist with maintaining departmental files, reports, schedules, and records.
  • Prepare correspondence, meeting materials, and departmental documents.
  • Assist with purchasing requests, expense reports, and filing receipts.

Athletics Operations

  • Assist with preparing athletic facilities for practices, competitions, and special events.
  • Help maintain athletics equipment, uniforms, and inventory.
  • Assist with setup and breakdown of athletic events.
  • Support facility scheduling and event preparation.
  • Perform routine inspections of athletic spaces to ensure cleanliness and readiness.

Game Day Operations

  • Assist with all home athletic contests.
  • Help operate admissions, scorer's table, hospitality, statistics, livestream setup, or other game management responsibilities.
  • Assist with supervising student workers and volunteers.
  • Ensure game day equipment is prepared before each contest.
  • Assist officials, visiting teams, and spectators as needed.
  • Recruit, interview, hire and train game day staff.

Team Travel

  • Assist with organizing travel itineraries.
  • Help coordinate meals, lodging, and transportation.
  • Assist with loading and unloading equipment.
  • Serve as an approved institutional driver when authorized.

Recruiting & Student-Athlete Support

  • Assist coaches during recruiting visits.
  • Help prepare recruiting packets and campus visit materials.
  • Assist prospective student-athletes through admissions and onboarding processes.
  • Maintain recruiting files and documentation.

Marketing & Community Engagement

  • Assist with social media content.
  • Take photographs and videos during athletic events.
  • Help promote athletic events across campus.
  • Assist with community outreach activities and special events.

Additional Responsibilities

  • Maintain confidentiality of student and departmental information.
  • Follow all institutional, conference, and NJCAA policies and procedures.
  • Perform other duties as assigned by the Director of Athletics or Athletics Operations Coordinator.

Minimum & Preferred Qualifications

Qualifications

Education Minimum:

Minimum

  • High School Diploma or GED

Preferred

  • Associate degree or coursework toward a Bachelor's degree in Sport Management, Business Administration, Recreation, or a related field.

Experience Minimum:

Minimum

  • Customer service, office support, athletics, or event operations experience.

Preferred

  • Experience working in collegiate athletics, high school athletics, recreation, or event management.

Additional Information

Language Skills

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Computer Skills

  • To perform this job successfully, an individual should be proficient in Microsoft Word, Excel, and Outlook.
