The Physical Therapy Centralized Scheduler coordinates patient appointments, manages therapist schedules, verifies insurance, and handles initial intake and billing. They act as the primary link between patients, clinical staff, and referring physicians to ensure smooth clinic operations and efficient patient flow.
 
Core Responsibilities
  • Book initial evaluations and ongoing treatment sessions, manage therapist calendars, and accommodate cancellations or reschedules.
  • Greet patients, collect demographic information, and guide them through required paperwork.
  • Verify insurance eligibility, obtain prior authorizations, and explain financial responsibility or co-pays to patients.
  • Answer phones, respond to inquiries, and assist physical therapists with daily operational tasks.
  • Collect co-pays, process payments, and ensure accurate data entry into electronic medical record (EMR) systems.
 
Key Qualifications
 
  • Education: High school diploma or GED equivalent required; associate’s or bachelor’s degree preferred.
 
  • Experience: Typically 1+ years of administrative or scheduling experience in a medical or clinical setting.
 
  • Skills: Strong organization, excellent verbal communication, problem-solving, and proficiency with EMR and scheduling software (e.g., Epic, WebPT)
