Position Summary

This is a part-time position with all costs covered by Upward Bound (UB), a federally funded TRIO Program. The position is responsible for program clerical services including; data entry, and data management. The Data Entry/TRIO Assistant must accurately input, verify and maintain data for various systems including digital systems, databases systems, paper systems. Other key duties include maintaining data accuracy, data confidentiality and organization of digital/physical files. Essential skills include attention to details, Microsoft Office proficiency and strong/organizational skills.

Essential Duties and Responsibilities

  1. Adhere to the policies, rules and standards of Central Alabama Community College, the Alabama Community College System, accrediting agencies and federal regulatory bodies.

  2. Provide essential clerical, programmatic, and operational support to the Upward Bound (UB) program under the direction of the Upward Bound Program Director.

  3. Prepare required reports as required by CACC, ACCS and other regulatory agencies.

  4. Ensure compliance with Family Education Rights and Privacy Act (FERPA)

  5. Assist Upward Bound Director in the implementation of activities and services for Upward Bound/TRIO.

  6. Submit and reply to all data and request in a timely fashion (reports, documents, email, travel, etc.)

  7. Assist with communication needs of Upward Bound/TRIO Program staff, college personnel and instructors to ensure supplemental support of participants.

  8. Monitors student learning lab and assist with student chaperoning as needed.

  9. Document activities as required by grant objectives.

  10. Assist with the distribution of Upward Bound/TRIO information to ensure program success.

  11. Assist in accomplishing project objectives via structured tasks to achieve objectives that include program retention, graduation and post-secondary enrollment.

  12. Data Entry, Data Verification, Data Organization, Data Accuracy and Data Reporting with minimal errors.

  13. Ensure that sensitive and confidential information is handled with discretion.

  14. Maintain good organization skills to process large amounts of data effectively.

  15. Ability to manage workloads and meet deadlines.

  16. Assist with preparation of correspondence, surveys, reports and files as directed.

  17. Develop agendas, travel documents, meeting minutes, invitations, flyers as directed.

  18. Maintain program calendars and supplies to ensure delivery of program services.

  19. Asist UB/TRIO Program staff.

  20. Attend meetings as required.

  21. Complete other duties not explicitly listed in official job role.

Qualifications

  1. Associate's degree in office administration, education or related field of study from a regionally accredited institution is required.

  2. Five (3) years working with general public is required.

  3. Three (3) years office experience is preferred.

4 . Two (2) years database and/or record keeping experience is preferred.

5 . Ability to problem solve, prioritized, communicate and promote teamwork is required.

  1. Ability to develop, review and edit professional documents is required.

  2. Ability to work no-traditional work hours is required.

  3. Excellent written and oral communication skills is required.

  4. Willingness and resource necessary to travel within the service area is required.

  5. Ability to relate to individuals of various backgrounds is required.
