DEFINITION

Under general supervision, performs a variety of front-of-house activities during arts center performances, including box office and house management duties. May also perform box office duties during the day. Performs related duties as required.

DISTINGUISHING CHARACTERISTICS

The Part-Time Front of House Customer Service Representative I/II has responsibility for performing duties as assigned in the areas of house management and box office operations at the Performing Arts Center. These tasks include lobby services, concession preparation and sales, ushering, light clean-up after a performance, and box office services. May be assigned as a Disaster Service Worker in the event of a disaster or emergency.

SUPERVISION RECEIVED/EXERCISED

Supervision is provided by the Performing Arts Center Manager.

FOH Customer Service Representative I

When assigned house management duties, may perform the following:

  • Provide friendly, efficient service to patrons
  • Open and prepare lobby and concession areas of Performing Arts Center before performances
  • Lock and secure Performing Arts Center after performances
  • Perform and/or oversee general clean-up, vacuuming, and moving of lobby/events room furniture before and after performances
  • Help stock concession inventories
  • Organize and maintain in-house and local publicity (brochure rack)
  • Be well-informed on theatre season and be able to respond to a variety of requests for information concerning the Performing Arts Center functions, policies and performances
  • Provide general assistance to groups attending events
  • Operate a computer terminal and office equipment
  • Close out cash drawer, prepare preliminary cash report
  • Perform related duties as assigned

When assigned box office duties, may perform the following:

  • Provide friendly, efficient service to patrons
  • Open and close the box office
  • Sell tickets and enter sales into the computer box office system
  • Enter into the computerized box office system single ticket and subscription sales from telephone, mail order, online, and window sales
  • Prepare daily box office reports
  • Be well-informed on theatre season and be able to respond to a variety of requests for information concerning the Performing Arts Center functions, policies and performances
  • Process cash, checks, and credit card sales; make change and process vouchers and gift certificates
  • Perform related duties as assigned

In addition to performing all of the duties listed above, the Part-Time FOH Customer Service Representative II may also:

When assigned house management duties:

  • Purchase and prepare refreshments for opening night parties
  • Pick up supplies from various local vendors
  • Provide lead direction to volunteer concession staff and ushers
  • Assist with coordinating special Performing Arts Center events
  • Coordinate performance information with box office, backstage, and/or rental representatives
  • Work with PAC Manager to build usher roster
  • When assigned box office duties:
  • Prepare final daily deposits and reports
  • Program show information into the box office system. This applies to Spreckels Theatre Company shows as well as rental shows and special events.
  • Interact with ticketing service provider to troubleshoot any problems arising in the box office system
  • Provide support to Manager by providing requested reports and analytics
  • Interface with Authorize.net when necessary
  • Attend weekly staff meetings

Qualifications and Requirements

Sufficient experience, training, and education to successfully perform the required duties of a Front-of-House Customer Service Representative I/II.

Education, Experience and Training

Positions in this class typically require:

  • One to two years of theatre house management or box office work, host/hostess, or direct customer service work.

SPECIAL REQUIREMENTS:

  • Must be available for night and weekend event work as required.
  • Per California State Law, smoking is not permitted inside City facilities/vehicles or within 20 feet of main entrances, exits, and operable windows. The Performing Arts Center is a smoke-free environment.

LICENSING AND TRAINING REQUIREMENTS:

Positions in this class typically require:

  • Possession of a valid California Class C Drivers License and a good driving record
  • Must successfully complete Responsible Beverage Service training

KNOWLEDGE OF:

  • Basic mathematics and bookkeeping skills
  • Reception and telephone techniques
  • Customer service techniques
  • Basic computer literacy
  • Proper English usage, spelling, grammar, and punctuation
  • Computer data entry procedures

SKILL TO:

  • Perform data entry quickly and accurately
  • Make change at concessions counter and box office
  • Operate office equipment including a computer terminal, phones, copiers, etc.

Additional Information

WORKING CONDITIONS

Position requires sitting, standing, walking on level and slippery surfaces, reaching, twisting, turning, kneeling, bending, squatting, stooping, grasping, and making repetitive hand movements in the performance of daily work activities. The ability to lift, push and drag equipment and supplies weighing up to 25 pounds is required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Normal hearing is required for general safety. The noise level in the work environment may be moderate to loud depending on working conditions.

  • Free membership to the Callinan Sports & Fitness Center

  • You will receive $1.00 /hour for any hours worked between (9:30 pm -7 am).

  • In addition, you will receive overtime pay at 1.5 times your regular hourly rate for any hours worked on a City recognized holiday.

  • Sick hour accrual - 1 hour of paid sick leave for every thirty (30) hours worked beginning on the first day of employment.

The City does not participate in Social Security, but does withhold 1.45% of wages for Medicare taxes.

In January 1992, Congress passed new regulations that mandated Social Security coverage for part-time government employees that werent covered by a retirement plan. The City implemented a Deferred Compensation Plan through Nationwide Retirement Solutions as an alternative to Social Security. Under this plan, 7.5% of your wages will be deducted prior to any tax calculation. In other words, you will not be paying any taxes on these funds when they are deducted from your paycheck. These funds will be deposited in an account set up for you that will earn tax-free interest at a rate set up every quarter, based upon current interest rates.
