Summary:

  • Responsible for supporting individual patients through the continuum of healthcare as it pertains to surgical scheduling. Responsible for clerical support and procedure scheduling. Responsible for data entry, calendaring, and providing support for procedure scheduling and the front desk staff.

Responsibilities:

  • 1. Procedure & Surgery Scheduling a. Scheduler will assist/guide surgery patients through the continuum of care and testing. This individual will be responsible for understanding treatment and care options, explaining insurance, finding doctors and scheduling appointments, managing paperwork, all working closely with the family members and caregivers when necessary. b. Must be able to keep track of diagnoses, appointments, tests and other important information c. Will provide a consistent point of connection for surgical patients and help guide the patients through the process. 2. Scheduling and Verification a. Knowledge of specific requirements to safely and accurately schedule procedures b. Navigates ECW (EMR & EPM) and Meditech to review patient records for appointments, testing visits and report acquisition. c. Understand patient education needs by effectively sharing information with patients and families. d. Learn and retain information regarding patient care procedures and scheduling e. Greets patients and assists them appropriately during the check-in process, verifies insurance and verifies referral process has been completed f. May be required to either check in or check out patients according to your assignment. g. Schedule patient’s next appointment / schedule any test as physician directed h. May be responsible for completing testing pre-certifications i. Explains and verifies financial requirements to the patients or responsible parties and collects copays as required j. Ensures that a new patient information sheet is filled out on all patients annually and that necessary information changes are made at each visit 3. Performs selected clerical and administrative duties to assist surgical services, and physicians as part of the care team. a. Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, paging, or redirection of calls as needed. b. Responds to patient communications and transfers calls or delivers complete messages to the appropriate individual per practice protocol c. Phones or pages employees to meet visitors, directs visitors drug reps to appropriate waiting areas, and appropriately and courteously screen solicitors for relevance to organization needs. d. Liaise with patients and their families in a compassionate and courteous manner e. Maintains strict confidentiality; and treats staff, physicians, patients and visitors with respect f. Maintains the electronic medical records (EMR) appointment schedule; schedules appointments and ensures patients receive appointment reminders, hospital procedures and/or surgeries following office protocol; advises medical staff and patients of scheduling changes; and maintains a record of physician schedules and days off to avoid scheduling conflicts g. Prepares for and reports to meetings and training sessions as required h. Maintains office supplies, and notifies management of problems, keeps area clean and presentable

Credentials:

    Education or Equivalent Experience:

    • H.S. Diploma/GED (Required)
    • Two years of experience Two years of experience, preferably in a health care environment.
