The Public Health Office Assistant provides customer service and clerical/administrative support in a county health department and medical office setting. This role assists patients with registration, insurance and contact information, appointment scheduling, records, and general office inquiries. The position also supports Vital Records services, document scanning/indexing, cash-handling procedures, and accurate data entry while maintaining a professional and supportive environment.
Provide professional customer service to patients, visitors, and the public in a medical office/clinic setting.
Register patients accurately and efficiently to support smooth clinic operations.
Obtain and verify insurance information, update patient contact information, and check immunization status.
Enter and maintain accurate information across multiple computer systems while following established procedures.
Assist patients in identifying and accessing health department services for which they may be eligible.
Schedule patient appointments according to established booking guidelines.
Provide Vital Records support, including processing birth and death certificate requests, printing certificates, documenting transactions, and collecting applicable fees.
Scan and index required documents into electronic systems within established timeframes.
Maintain accurate records and follow department policies, procedures, manuals, and SOPs.
Follow cash-handling and segregation-of-duties procedures to maintain security and accuracy.
Assist with general clerical and office duties as needed.
Work collaboratively with team members to maintain a supportive and professional environment.
Protect patient and department information and maintain confidentiality at all times.

High school diploma or equivalent preferred; equivalent qualifying experience may be considered.
2+ years of customer service, clerical, administrative, receptionist, office support, or similar experience.
Strong customer service and communication skills.
Comfortable working with patients, customers, visitors, and the general public.
Basic computer skills, including data entry, email, document management, and working with multiple systems.
Ability to accurately enter, verify, scan, and maintain information and documents.
Strong attention to detail and organizational skills.
Ability to handle routine cash transactions and follow established procedures.
Ability to maintain confidentiality and follow policies and instructions.
Ability to work effectively in a team-oriented office environment.
