Job Description: Entry-Level Purchasing Agent

Position Title

Purchasing Agent (Entry-Level)

Position Summary

The Entry-Level Purchasing Agent is responsible for supporting procurement activities by sourcing materials, supplies, and services needed for business operations. This role works closely with suppliers, internal departments, and inventory teams to ensure timely delivery, cost-effective purchasing, and accurate order processing. The ideal candidate is detail-oriented, organized, and eager to develop a career in supply chain and procurement.

Key Responsibilities

  • Create and process purchase orders in accordance with company policies.
  • Monitor order status and follow up with suppliers to ensure on-time delivery.
  • Obtain and compare supplier quotes for products and services.
  • Maintain accurate purchasing records, contracts, and supplier information.
  • Communicate with vendors regarding pricing, availability, lead times, and order discrepancies.
  • Collaborate with inventory, production, and operations teams to support material requirements.
  • Assist in identifying cost-saving opportunities and alternative sourcing options.
  • Resolve issues related to shipments, invoicing, and product quality.
  • Track purchasing metrics and prepare reports as needed.
  • Ensure compliance with company purchasing procedures and ethical sourcing standards.

Qualifications

Required

  • High school diploma or equivalent; Associate's or Bachelor's degree in Business, Supply Chain, Logistics, or a related field highly preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Ability to work effectively in a fast-paced environment.
  • Strong attention to detail and accuracy.

Preferred

  • Internship, co-op, or previous administrative/customer service experience.
  • Familiarity with ERP or purchasing systems.
  • Basic understanding of supply chain, procurement, or inventory management concepts.
