We are seeking a Purchasing Assistant to join our team! The Purchasing Assistant is responsible for assisting the Purchasing team with purchase orders as well as the supplier interface. This position will assist with data entry, placing orders, and following up with outside
vendors to meet required deadlines.

Responsibilities:
  • Follow up with suppliers to confirm purchase orders, monitor order status, and ensure timely delivery of materials. 
  • Contact vendors to obtain product information, pricing, availability, lead times, and return authorization details. 
  • Solicit, review, and process supplier quotations while maintaining accurate pricing and cost information within the purchasing system. 
  • Communicate with suppliers regarding purchase orders, order changes, shipment schedules, and delivery updates. 
  • Verify vendor invoices for accuracy, investigate discrepancies, and coordinate with Accounting to resolve payment issues. 
  • Collaborate with internal departments to provide product information, purchasing updates, and order status as needed. 
  • Coordinate with suppliers to resolve issues related to product quality, delivery delays, returns, shortages, and other purchasing concerns. 
  • Obtain and maintain required supplier documentation, including Certificates of Analysis (CoA), product specifications, and Safety Data Sheets (SDS/MSDS). 
  • Maintain accurate purchasing records, including vendor files, purchase orders, product pricing, cost files, and supporting documentation. 
  • Prepare reports, maintain purchasing documentation, and escalate unresolved issues to management when appropriate. 
  • Organize and maintain electronic and physical purchasing records in accordance with company procedures. 
  • Perform general administrative support duties for the Purchasing department. 
  • Perform other duties and special projects as assigned. 

Qualifications:

  • 6 months – 1 year of work experience in an office environment.  
  • Communication Skills (Oral/Written) - able to speak clearly, concisely, and accurately to ensure effective department operations. 
  • Computer Skills (Include level: Beginner, Intermediate, Advanced) MS Office: Word, Excel, Outlook. 
  • Detail Oriented - pays close attention to detail, accuracy and completeness, double checking their work. 
  • Honesty/ Integrity - follow through with company values and provide exceptional quality products. 
  • Planning/Organizational Skills - the ability to create and use logic and systematic processes to achieve goals. 
  • Teamwork/Cooperation - the ability to work well with others in a group and cooperate with others.
