As a Purchasing Coordinator, you'll play a vital role in keeping our supply chain moving by managing purchase orders, coordinating with suppliers, tracking shipments, and supporting the flow of products from vendor to customer. You'll work closely with Purchasing, Sales, Shipping, Customer Service, and Billing to ensure orders are processed accurately, deliveries stay on schedule, and customers receive the products they need. • Generate, review, and analyze purchasing reports to support inventory and procurement activities.
• Create, issue, and maintain purchase orders (POs) with suppliers.
• Monitor supplier confirmations and maintain accurate acknowledgment records.
• Coordinate with the Sales team regarding order delays, product substitutions, back orders, and fulfillment challenges.
• Allocate customer orders against available inventory and supplier commitments.
• Enter supplier invoice information into company systems and maintain organized purchasing records.
• Maintain and update product pricing within the company system (FAST).
• Create and maintain item master records, vendor profiles, and related system data.
• Communicate quality concerns, product discrepancies, and supplier claims as required.
• Share supplier promotions, special pricing opportunities, and product availability updates with the Sales team.
• Coordinate daily purchase order pickups with suppliers throughout Central Florida.
• Prepare and distribute weekly pickup schedules for local suppliers servicing the Miami area.
• Ensure suppliers have orders prepared and available for collection according to shipping schedules.
• Maintain ongoing communication with suppliers regarding shipment readiness and pickup requirements.
• Collaborate with logistics team to support efficient transportation planning and execution.
• Provide shipment tracking information and delivery updates to Customer Service Representatives (CSRs).
• Enter Air Waybill (AWB) numbers and shipment tracking details into company systems.
• Process supplier invoices, coordinate shipment routing, and prepare Bills of Lading (BOLs).
• Distribute BOLs, signed shipping documentation, and tracking information to the Billing department to facilitate timely invoices.
• Ensure all shipping documentation is accurate, complete, and submitted within required timelines.
• Associate degree preferred; equivalent work experience will be considered.
• Minimum of 2 years of experience in purchasing, logistics, supply chain, customer service, or a related administrative role.
• Experience in horticulture, agriculture, nursery, or landscaping industries strongly desired.
• Bi-lingual Spanish proficiency.
• Excellent organizational skills with exceptional attention to detail and accuracy.
• Ability to prioritize tasks, manage multiple deadlines, and work effectively in a fast-paced environment.
• Strong verbal and written communication skills.
• Proficiency with Microsoft Office.
• Experience with ERP, purchasing, or inventory management systems preferred.
• Ability to work independently while maintaining strong collaboration across multiple departments.
• Ability to sit at a desk and work on a computer for prolonged periods.
• Ability to lift up to 20lbs; squat, bend, pull and push, and climb stairs.
