Associate degree from an accredited institution of higher learning in business, accounting, office administration, or a related field. 
Must demonstrate strong organizational, communication, and technical skills, including proficiency in office procedures, administrative support functions, purchasing-related duties, Microsoft Office applications, data entry, record maintenance, and business communications.

Bachelor's degree from an accredited institution of higher learning in business, accounting, office administration, or a related field or other relevant higher education experience.
Relevant work experience in purchasing, procurement, accounting, bookkeeping, or administrative support may be considered in lieu of some educational requirements. Coursework or experience related to accounting, business operations, or procurement is strongly preferred.
 
##### JOB DESCRIPTION
 
The Purchasing Clerk/Administrative Assistant performs a variety of administrative and procurement-related duties in support of the College's purchasing operations. Responsibilities include processing purchase requisitions and purchase orders, maintaining procurement records, coordinating purchasing activities with departments and vendors, and ensuring compliance with institutional and State of Mississippi purchasing guidelines.
This position also provides administrative support through correspondence, report preparation, record maintenance, communication with internal and external stakeholders, and coordination of routine office activities. Work requires attention to detail, sound judgment, organizational skills, and the ability to manage multiple tasks efficiently and professionally.
DUTIES AND RESPONSIBILITIES:
- Review and process purchase requisitions submitted by college departments to ensure completeness, accuracy, and required supporting documentation.
- Prepare purchase orders for approval and coordinate the placement of orders with approved vendors.
- Communicate approved purchase order information to requesting departments and facilitate purchasing activities as directed.
- Maintain and manage the College's online purchasing accounts and vendor platforms (e.g., Amazon, Quill, and other approved purchasing systems).
- Ensure compliance with State of Mississippi procurement laws, regulations, and institutional purchasing policies and procedures.
- Maintain accurate and organized procurement files, records, and documentation in accordance with established retention requirements.
- Assist with public bid processes, including preparation of bid advertisements, collection of bid submissions, and coordination of bid review procedures.
- Assist with the administration and reconciliation of procurement card (P-card) transactions by reviewing receipts and supporting documentation, verifying compliance with institutional and State of Mississippi purchasing guidelines, and maintaining accurate records.
- Coordinate with vendors, architects, engineers, and other stakeholders regarding purchasing specifications, pricing, and procurement requirements for projects and services.
- Work collaboratively with the President's Office to prepare and submit approved bids and related documentation for Board of Trustees agenda consideration.
- Provide general administrative support, including preparing correspondence, reports, and other office documents as needed.
- Respond to inquiries and assist faculty, staff, vendors, and the public in a professional and courteous manner.
- Monitor purchasing activities to ensure timely processing, accuracy, and adherence to institutional and state guidelines.
- Perform other duties and special projects as assigned by appropriate College authorities.
