Purchasing Coordinator

Job Title: Purchasing Coordinator

Job Description: This role is responsible for procuring items and materials required for the production

of game components, as well as supplies and tools needed to keep the Production Facility maintained,

safe, and running efficiently. This role has a heart to serve and enjoys continual process improvement.

Job Responsibilities:

Processing Purchase Orders (POs):

Process and fulfill purchase requests in line with budget approvals.

Purchase materials for standard game production, production supplies, and office supplies

efficiently, cost-effectively, and in a timely manner.

Maintain Bills of Materials (BOMs).

Identify alternatives that fit within the budget when specified items are out of stock.

Vendor Management:

Communicate regularly with suppliers and vendors to ensure the correct goods are sourced,

delivered on time, and meet quality standards.

Request quotes, compare pricing and lead times, and negotiate terms.

Assess supplier performance: Ensuring suppliers comply with contractual requirements and

improve procurement strategies.

Develop and maintain a database of reliable vendors on Net 30 terms.

Inventory Monitoring:

Work closely with the Receiving and Inventory Control Team to monitor inventory levels and

prevent shortages and overstocking.

Coordinate with the Receiving and Inventory Team to receive updates on damaged goods,

obsolete items, and scrapped materials.

Assist in cycle counts and physical inventory audits if necessary.

Support the Inventory Control and Kitting Team if necessary.

Order Tracking & Logistics:

Resolve issues with delayed, partial, or incorrect shipments.

Organize returns with vendors and the Shipping and Receiving Coordinator.

Coordinate with Receiving and Logistics on large deliveries.

Documentation & Recordkeeping:

Maintain records: Keep records of purchase orders, contracts, receipts, and transactions.

Expense reconciliation using Divvy and Bill.com.

Update Fulcrum Pro to reflect changes from product updates and real-time cost.

Assist in preparing reports on procurement metrics and costs.

Coordinate product change management updates.

Operational Support:

Learn and develop fluency in Purchasing Planning, Receiving, and Inventory Control functions

in FulcrumPro.

Contribute to internal improvement projects, such as process optimizations or software updates

impacting purchasing, receiving, and inventory workflows.
