Description

Fountain Valley School seeks an experienced, highly organized, and service-oriented Operations Manager to oversee the day-to-day administrative and logistical operations of the Operations Department. This role is responsible for coordinating department priorities, employee schedules, vendor activity, transportation operations, mailroom services, Operations departmental budgets, records, communications, and operational support systems. The Operations Manager exercises discretion and independent judgment in prioritizing work, coordinating resources, solving logistical problems, supporting compliance, and ensuring that the department provides timely and reliable service to students, employees, families, visitors, and vendors.

 Key responsibilities may include:

  • Manage the day-to-day administrative operations of the Operations Department, including workflow coordination, communication, scheduling, recordkeeping, and follow-through on departmental priorities.
  • Create and maintain  vendor, mailroom, transportation, and event schedules to ensure appropriate coverage for daily operations, special events, emergencies, projects, seasonal needs, and occasional evening or weekend work.
  • Use independent judgment to prioritize requests, resolve scheduling or operational conflicts, escalate concerns when appropriate, and recommend improvements to department systems, service, and efficiency.
  • Direct and coordinate the daily work of the mailroom and transportation personnel, including task assignments, work priorities, coverage, follow-up, training, and feedback.
  • Assist with onboarding, performance documentation, staffing recommendations, attendance tracking, time off requests, overtime needs, and schedule changes in partnership with the director of facilities and COO.
  • Coordinate vendor schedules, campus access, required documentation, service appointments, communication, and follow-up to ensure work is completed safely, efficiently, and in alignment with school expectations.
  • Manage mailroom and transportation budgets, in coordination with the Chief Operating Officer.
  • Monitor expenses, purchase orders, invoices, reimbursements, supply inventories, vendor charges, vehicle costs, postage, shipping, fuel, repairs, and other department expenditures.
  • Ensure mailroom staffing and procedures meet the needs of students, employees, families, and departments during the academic year, breaks, summer programs, and high-volume periods.
  • Manage daily transportation operations for a school fleet of approximately 20 vehicles and 4 hired drivers.
  • Schedule drivers and vehicles for academic trips, athletics, airport transportation, medical appointments, weekend transportation, student activities, special events, and other school transportation needs.
  • Track vehicle availability, trip assignments, mileage, fuel usage, driver hours, cancellations, transportation costs, and related records.
  • Coordinate with the transportation lead on vehicle maintenance, inspections, repairs, cleaning, registration, insurance documentation, and fleet readiness with appropriate school personnel and outside vendors.
  • Support the development, implementation, and communication of departmental procedures, expectations, and service standards.
  • Maintain regular and reliable in person attendance
  • Perform other duties as assigned.

 Qualifications:

  • Must possess a valid driver's license and/or obtain a Colorado license within 30 days of hire.
  • High school diploma or equivalent
  • 2 year’s experience, experience in an independent boarding/day school environment preferred.
  • Three to five years of progressively responsible administrative, operations, logistics, facilities, transportation, or office management experience; supervisory experience preferred.
  • Demonstrated leadership and supervisory skills, including the ability to coach employees, manage priorities, and foster a collaborative team environment.
  • Ability to exercise sound judgment, make independent decisions, and maintain confidentiality.

Working Conditions

  • Environment: Primarily an office environment with frequent movement throughout campus, including warehouses, maintenance facilities, mailroom, transportation areas, and outdoor locations. Regular interaction with employees, students, families, vendors, contractors, and visitors. Fast-paced environment requiring the ability to manage multiple competing priorities, frequent interruptions, changing deadlines, and urgent operational issues while maintaining accuracy and professionalism.
  • Physical Demands: Ability to remain seated or standing for extended periods; frequently walk across campus; occasionally bend, reach, climb stairs, and lift or move materials weighing up to 40 pounds.
  • Work Schedule: Generally Monday through Friday during normal business hours. Occasional early mornings, evenings, weekends, or holiday work may be required to support transportation needs, campus events, emergencies, weather-related operations, employee coverage, or other operational priorities.
  • Technology: Regular use of Google Workspace for Education, Microsoft Office Suite, MaintainX, scheduling software, transportation systems, email, phone, and other operational management platforms.

Salary: $72,000 - $74,000
